Order Entry Specialist

Position Overview

Our client is seeking a detail oriented Order Entry Specialist to join its Operations team during a critical seasonal period. This role will support the accurate processing of customer orders received through multiple channels, including email, mail, fax, and online submissions.
The ideal candidate thrives in a fast paced administrative environment, enjoys working with data, and possesses strong keyboarding and organizational skills. This individual will play a key role in ensuring customer orders are processed accurately and efficiently while supporting the overall customer experience.
This position is being added to backfill a high performing employee who is departing during the organization's busiest season. Successful performance may lead to a permanent opportunity.

Key Responsibilities
Order Processing & Data Entry

• Accurately enter customer orders received through:
  • Email
  • Mail
  • Fax
  • Internet/online channels
• Review orders for completeness and accuracy before entry.
• Maintain high levels of speed and accuracy while processing daily order volumes.
• Enter and update customer information within Microsoft Dynamics and internal systems.

Research & Problem Resolution

• Investigate missing or incomplete information needed for order fulfillment.
• Resolve order discrepancies and identify data errors before orders are processed.
• Maintain orders placed on hold and proactively work toward resolution.

Customer Communication

• Follow up with customers regarding:
  • Missing information
  • Order clarifications
  • Order completion requirements
• Communicate primarily through email with occasional phone outreach.
• Provide professional customer service and timely responses.

Administrative Support

• Process incoming mail and supporting documentation.
• Maintain records and documentation related to customer orders.
• Communicate customer feedback to appropriate internal teams.
• Support additional operational tasks as assigned.

Required Qualifications
Experience

• 1+ years of administrative, customer service, order entry, data entry, call center support, or office support experience.
• Experience working in a high volume transaction processing environment preferred.

Technical Skills

• Basic computer proficiency.
• Working knowledge of Microsoft Office Suite.
• Strong data entry and keyboarding skills.
• Ability to navigate multiple systems simultaneously.
• Experience with ERP or CRM systems is a plus.
• Experience with Microsoft Dynamics is preferred but not required.

• Proven ability to work independently with minimal supervision after training.

Training & Onboarding

• Approximately two weeks of hands on training.
• Direct training provided by the hiring manager and operations team.
• Instruction on:
  • Microsoft Dynamics
  • Internal order management portal
  • Order processing workflows
  • Customer communication procedures

Job Type & Location
This is a Contract to Hire position based out of Rolling Meadows, IL.
Pay and Benefits
The pay range for this position is $20.00 - $20.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
