Project Closeout Consultant - West

Role As a Project Closeout Consultant, you will manage all aspects of closeout documentation collection, organization, validation, and delivery for commercial construction projects. You ensure nothing gets lost in the handoff from construction to operations. This role requires attention to detail, comfort working with construction documents, and the ability to coordinate with multiple subcontractors and project teams simultaneously. What You Will Do Document Collection and Management: Collect closeout documentation from general contractors and subcontractors throughout construction. This includes equipment specifications, operation and maintenance manuals, warranties, as-built drawings, commissioning reports, test and balance reports, and training materials. Track submission status, follow up on outstanding items, and ensure all required documents are received. Organization and Verification: Organize documentation in DataSphere by system, room, manufacturer, and drawing number. Verify that submitted documentation matches contract requirements and installed equipment. Identify and correct mismatches or missing warranties. Quality Assurance and Audit: Audit documentation packages for completeness and accuracy before delivery. Validate that the HVAC manual matches installed equipment serial numbers, electrical panel schedules reflect as-built conditions, and that all required warranties are documented with proper start dates and coverage periods. Client Coordination: Work directly with project managers, project engineers, and subcontractors to collect documentation. Provide status updates to general contractors and participate in closeout coordination meetings. Train building owners and facility managers on DataSphere navigation and features at project delivery. Project Management: Manage multiple projects simultaneously at different stages of completion. Track progress against milestone schedules and flag issues before they become problems.
