Assistant Field Office Manager

Assists with accounting and administrative support functions for the assigned project (job) site(s).

Functional Areas of Responsibility

• Process and enter vendor/subcontractor invoices

• Enter timesheets

• Provide administrative support

Specific Duties and Responsibilities

• Receive review and process vendor invoices

• Take delivery of goods and/or materials and ensure accurate reporting in accounting system

• Assist with onboarding employeeâowners and maintaining accurate HR forms/records

• Ensure jobsite timesheets are entered accurately and timely

• Coordinate weekly payroll function

• Review and enter pay requests from subcontractors in the accounting system

• Keep track of Lien Waivers Suppliers Release Notice of Intent to Lien Mechanics Lien and Release of Lien

• Assist with periodic internal and external audits

• Assist with various reporting requirements

• Assist with record keeping filing and other administrative or clerical duties

• Ensure effective team coverage by crossâtraining on various roles/responsibilities

• Maintain ongoing contact with various jobsites regional offices and departments to ensure organizational strategic goals are achieved

• Perform various ad hoc requests

• • Meet accounts payable financial standards by providing annual accounts payable budget information monitoring expenditures identifying variances and implementing corrective actions
  • Develop implement and maintain procedures as related to accounts payable functions in accordance to overall company financial policy
  • Train AP functions throughout the company
  • Work closely with internal and external auditors by supplying information and technical assistance as necessary
  • Perform a wide variety of special projects as needed

  Qualifications Required for this Position

  Education

  • Bachelors degree in accounting business or related field
  • Accounts Payable certification preferred

  Experience

  • 8 years of experience in accounts payable or related field required
  • Minimum of five years of supervisory experience
  • Strong analytical and problem-solving skills required
  • Effective communication skills both verbal and written
  • Ability to lead a team environment with emphasis in customer service accuracy and timeliness
  • Proficient in Microsoft Outlook Excel and Word
  • Knowledge of Viewpoint and/or CMiC ERP systems preferred
  • Construction industry experience preferred
