Practice Coordinator Rover (CMA)

Job Summary The Rover Practice Coordinator performs core Practice Coordinator functions while providing support across a defined state/region. The role backfills staffing gaps and supports practices with increased volume or operational demand, delivering high quality front office operations and customer service to in‑person and remote patients and clinicians. Duties & Responsibilities Maintain a positive, supportive, and professional working environment and promote the LifeStance culture. Prepare patient paperwork, verify demographics, ensure credit card on file, and complete charts before appointments. Perform general office duties (mail handling, sorting, scanning, e‑faxes, shared office email/Teams messages) and maintain office organization and cleanliness. Communicate clearly and professionally with peers, clinicians, and patients to support patient care and clinician satisfaction. Deliver exceptional customer service, respond promptly to patient needs, and apply crisis and de‑escalation processes as needed. Manage front‑desk responsibilities: greet patients, check them in/out, handle scheduling, release requests, and miscellaneous inquiries. Manage call queues in the phone system to ensure timely answering and excellent service. Assist patients with telehealth access, Patient Portal issues, and other troubleshooting. Triage urgent patient needs and escalates to internal partners. Collect co‑payments and outstanding balances for in‑person and telehealth visits. Complete insurance eligibility verification and resolve issues with patients. Provide general clinician support: administrative questions, sending letters/faxes, and respond to operational queries. Audit clinician schedules for accuracy and completeness. Contribute to a pleasant, safe, organized, and motivating work environment. Required Skills & Abilities Ability to commute to multiple offices within a regional radius. Strong multi‑tasking and prioritization skills. Can work independently and collaboratively in a team. Clear written and verbal communication skills. Proficiency with Microsoft Office and EMR software. Ability to manage sensitive and confidential information (HIPAA). Education & Experience High school diploma or equivalent required; associate’s or bachelor’s degree preferred. Minimum of 1+years in healthcare operations, customer service, or a similar role. Physical Requirements Must be able to sit, stand, bend, talk, and hear regularly; frequently walk, lift or move objects up to 25pounds; adjust focus and pass visual tests. A valid driver’s license and ability to travel by automobile to multiple locations is required.
