AP Specialist

MGS has an exciting opportunity for an experienced Project Billing & AP Specialist to join our MGS Germantown team. The Project Billing & AP Specialist is responsible for the entry and review of project information into the ERP system and working closely with our Program Managers regarding the status of projects and customer invoicing. This position will also enter vendor invoices, process vendor payments, resolve vendor invoice discrepancies, and various other duties to support the Accounting Department. This position will also develop strong working relationships with our Program managers, vendors, and internal cross-company purchasing partners. Oversee and maintain organization of project documentation in accordance with company policies and audit requirements Review customer purchase orders to ensure accuracy of pricing, payment terms, and shipping terms Review and verify project setup and project information in the ERP system for accuracy and completeness Work closely with Program Managers to monitor project status and ensure timely preparation and distribution of progress invoices to customers. Close completed projects during the month-end close process Review, research, and resolve invoice discrepancies, including invoices failing the three‑way match; coordinate corrections and approvals as needed. Review invoice information captured by automated invoice processing software and accurately post invoices into the ERP system. Prepare and process batch check runs, wire transfers, and ACH transactions Obtain proper authorization for cash disbursements and distribute payments accordingly Audit and process corporate credit card statements in compliance with company policy. Communicate effectively with vendors and internal Project Managers to resolve issues and maintain positive working relationships. Assist with month‑end close activities, including accounts payable processing and bank reconciliations. Serve as backup for front desk receptionist duties as needed. Any other duties as assigned. Experience and Skills Completion of a high school diploma or GED. Two or more years of accounting assistance experience Project accounting and/or Accounts Payable experience is a plus Understanding of Accounting transactions Proficient in Microsoft Office Applications, including Excel Professional verbal and written communication Excellent attention to detail and accuracy MGS Mfg.
