Collections Specialist

YOUR RESPONSIBILITIES

Manage accounts receivable collections and follow up on outstanding invoices. Contact clients regarding past-due balances and payment arrangements through phone, email, and written correspondence. Review aging reports and prioritize collection efforts. Research and resolve billing discrepancies, payment issues, and customer inquiries. Document collection activities and maintain accurate customer and account records. Process and reconcile customer payments and assist with accounts receivable reporting. Collaborate with project managers and department leaders to resolve client concerns and facilitate payment collection. Monitor delinquent accounts and recommend escalation when appropriate. Maintain accurate project records in Deltek Vantagepoint, including project setup, updates, and closeout activities. Assist with employee certification tracking and record maintenance. Support process improvements that enhance collections efficiency and data accuracy. Perform general office and administrative duties as needed. Provide excellent customer service while maintaining professional client relationships.

MINIMUM QUALIFICATIONS

To excel in this role, candidates must possess the following qualifications and abilities: Associate’s degree in accounting, finance, business administration, or a related field preferred; equivalent experience may be considered. 3+ years of experience in collections, accounts receivable, billing, or a related accounting function. Experience working with accounting software and enterprise resource planning (ERP) systems. Strong understanding of accounts receivable processes, collection practices, and payment reconciliation procedures. Proficiency in Microsoft Office Suite, particularly Excel. Ability to analyze account activity, investigate discrepancies, and resolve issues efficiently. Strong organizational skills with the ability to manage multiple priorities and deadlines. Excellent verbal and written communication skills with a professional customer-service approach. High level of accuracy, attention to detail, and problem-solving ability. Ability to work independently and collaboratively within a team environment. Knowledge of Deltek Vantagepoint, Deltek Vision, or similar project-based accounting software is preferred. Experience working in the engineering, consulting, construction, or professional services industry is preferred.
