Position Summary

We are seeking an experienced, detail-oriented, and collaborative Coordinator to support the Global RFP Programs team across all aspects of day-to-day operations and long-term initiatives. The Coordinator, Global RFP Programs will assist an international RFP Programs department in implementing and maintaining strategies that drive a productive and profitable global hotel program.

Working closely with Global Sales Directors, RFP team coordinators, and hotel member partners, this role supports the achievement of departmental goals and targets across a growing portfolio of more than 700 hotels worldwide. Under the supervision of the Vice President, Global RFP Programs and Senior Manager, Global RFP Programs, the Coordinator is a member of the Global Sales Division and plays a key role in supporting hotel sourcing for major global corporations, consortia, and leisure agency programs.

Responsibilities include training member hotels on contract software systems, liaising with Regional and Area Managing Directors, Global Distribution Systems, Revenue Management and Reservations teams, and partnering with Accounting to support program execution.

Key Responsibilities

• Cvent Lanyon Vault Administrator - electronic web-based contracting tool, data entry & collection
• Member & Associate system training including customer service support
• Communication both written and verbal
• Global RFP (Request For Proposal) Program bid releases and submission
• Filing & Calendaring deadlines
• Manage responsibilities to meet and exceed team revenue goals
• Corporate Account Survey RFP division administrative duties
• PreferredNet (company member intranet) maintenance and member customer service
• Manage multiple simultaneous deadlines
• Consortia billing/invoice maintenance
• Routine departmental administrative duties

Required Experience/Qualifications

• Strong organizational skills with the ability to plan, prioritise, and manage multiple deadlines simultaneously
• High level of accuracy and attention to detail, with a consistent and reliable approach to work
• Excellent customer service and interpersonal skills
• Clear and effective verbal and written communication skills
• Strong problem-solving ability and sound judgment
• Ability to work independently as well as collaboratively within a team
• Comfortable working in a fast-paced environment while meeting company standards and policies
• Experience typically gained within an administrative, hospitality, or data systems processing environment

Desired Experience

• Hotel sales, front desk or reservations experience desirable

Working Conditions

This role will be based out of our Preferred Travel Group office. With our in-office philosophy, our associates are expected to be in the office at least three days per week, supporting a healthy balance between in-person collaboration and flexible remote work.

Salary

$51,000 - $55,000 actual compensation within this range will be determined by multiple factors including candidate experience and expertise.
