Senior Project Manager - Finance
Confidentially
Job Description
Job Description
Position Summary
The Senior Project Manager, Finance, is responsible for coordinating, managing, and driving the timely execution of financial, operational, procurement, and cross-departmental initiatives. The position serves as a central point of coordination and accountability for assigned projects, ensuring that departments establish clear action plans, meet established deadlines, fulfill commitments, and achieve organizational objectives.
This position requires a highly organized, proactive, and results-oriented professional capable of independently managing multiple priorities, monitoring departmental progress, identifying delays and obstacles, and ensuring that outstanding matters are brought to resolution.
The Project Manager will work closely with department heads, senior management, and other stakeholders to establish priorities, track deliverables, coordinate interdepartmental activities, identify risks, recommend corrective actions, and provide timely reporting on the status of organizational initiatives.
The successful candidate must demonstrate strong leadership, sound judgment, analytical ability, and the confidence and professional persistence necessary to drive results across departments without direct supervisory authority. The position requires an individual who takes ownership of assignments, anticipates challenges, and maintains consistent follow-through to ensure projects remain on schedule and are successfully completed.
Key Responsibilities
Project Management and Execution
- Manage multiple concurrent finance, accounting, procurement, operational, and cross-departmental projects from planning through completion.
- Develop and maintain comprehensive project plans, including priorities, timelines, milestones, deliverables, assigned responsibilities, and completion deadlines.
- Establish and maintain centralized project tracking systems to monitor progress, outstanding assignments, and upcoming deadlines.
- Ensure project objectives, expectations, and responsibilities are clearly communicated to all participating departments and stakeholders.
- Monitor project execution to ensure that established timelines and organizational priorities are maintained.
- Proactively identify potential delays, competing priorities, resource constraints, and other obstacles that may affect successful project completion.
- Coordinate corrective actions and recovery plans to address delays and maintain project momentum.
- Manage competing assignments while ensuring attention to detail, accuracy, and timely completion.
Departmental Coordination, Accountability, and Follow-Through
- Work directly with department heads and designated personnel to monitor progress on assigned initiatives and ensure adherence to established commitments and deadlines.
- Maintain consistent and proactive follow-up with departments regarding outstanding assignments, deliverables, and action items.
- Track departmental responsibilities and ensure that assignments are completed accurately, thoroughly, and within established timeframes.
- Identify projects or departments falling behind schedule, assess the causes of delays, and coordinate appropriate corrective measures.
- Facilitate resolution of interdepartmental issues, competing priorities, and dependencies that may interfere with project completion.
- Ensure that outstanding matters remain actively monitored until appropriate resolution or completion.
- Escalate missed deadlines, unresolved obstacles, and significant project concerns to senior management, together with practical recommendations for resolution.
- Promote accountability, responsiveness, and timely execution while maintaining effective and professional working relationships across departments.
Management Reporting and Communication
- Prepare and maintain regular project status reports, dashboards, schedules, and action-item tracking summaries for senior management.
- Provide clear and timely updates identifying completed milestones, upcoming deadlines, outstanding deliverables, responsible departments, potential risks, and matters requiring management attention.
- Maintain accurate records of project decisions, assignments, commitments, and follow-up activities.
- Organize and facilitate project meetings, establish agendas, document action items, and ensure timely follow-up on meeting outcomes.
- Communicate proactively with department heads and senior leadership regarding project status, anticipated delays, and recommended corrective actions.
- Provide objective assessments of project progress, including whether established deadlines and deliverables are likely to be achieved.
- Ensure that senior management has sufficient information to evaluate progress, establish priorities, and intervene when necessary.
Financial and Operational Analysis
- Analyze financial, accounting, procurement, and operational information to identify issues, inefficiencies, risks, and opportunities for improvement.
- Review existing processes and workflows to identify bottlenecks and recommend practical improvements.
- Develop well-supported recommendations to address financial, administrative, and operational challenges.
- Assist management in evaluating and prioritizing initiatives based on organizational objectives, available resources, and operational requirements.
- Coordinate implementation of approved process improvements and monitor progress toward intended outcomes.
- Apply sound professional judgment when evaluating project issues, identifying solutions, and determining when management intervention is necessary.
Independent Judgment and Initiative
- Work independently with limited supervision while maintaining appropriate communication with senior management.
- Take ownership of assigned initiatives and proactively advance projects without requiring continuous direction.
- Anticipate potential issues and take appropriate action to prevent avoidable delays.
- Demonstrate the confidence and professional judgment necessary to address outstanding commitments directly with departmental personnel and leadership.
- Distinguish between matters that can be resolved independently and those requiring escalation or management decisions.
- Adapt to changing organizational priorities while maintaining focus on established deadlines and deliverables.
- Support additional finance, administrative, and organizational initiatives as assigned.
Qualifications
Education
- Bachelor's degree in Business Administration, Finance, Accounting, Project Management, or a related field required.
Experience

- Demonstrated experience managing multiple projects, deadlines, deliverables, and competing priorities.
- Previous project management experience involving coordination across multiple departments or functional areas required.
- Demonstrated ability to drive project execution and achieve results through individuals and departments without direct supervisory authority.
- Experience working with department heads, management personnel, and cross-functional teams.
- Experience establishing project timelines, tracking action items, monitoring performance against deadlines, and resolving project delays.
- Experience preparing management reports, project status updates, or executive-level summaries.
- Experience identifying operational inefficiencies and implementing practical improvements preferred.
Knowledge, Skills, and Abilities
- Strong project management, organizational, and time-management skills.
- Demonstrated ability to establish priorities, maintain project momentum, and ensure timely completion of assignments.
- Exceptional attention to detail, follow-through, and accountability.
- Ability to manage multiple concurrent projects in a deadline-driven environment.
- Strong analytical, problem-solving, and decision-making abilities.
- Working knowledge of finance, accounting, procurement, and general business operations.
- Ability to independently assess situations, identify obstacles, and develop practical recommendations.
- Strong interpersonal skills and the ability to communicate effectively with employees, department heads, and senior management.
- Ability to confidently and professionally address missed deadlines, outstanding commitments, and project-related concerns.
- Demonstrated persistence, initiative, and results-oriented approach to completing assignments.
- Ability to build productive working relationships while maintaining appropriate expectations for accountability and performance.
- Strong written and verbal communication skills, including the ability to prepare concise and actionable management reports.
- Proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint.
- Familiarity with project management software, tracking systems, or reporting dashboards preferred.
- Ability to exercise discretion, maintain confidentiality, and apply sound professional judgment.
- Ability to work independently with minimal supervision while recognizing when matters require management attention.
Performance Expectations
Success in this position will be measured by the individual's ability to effectively coordinate departmental activities, maintain accurate and current project tracking systems, ensure consistent follow-through on assigned responsibilities, and drive organizational initiatives toward timely completion.
The Project Manager is expected to:
- Maintain clear visibility into the status of assigned projects, departmental responsibilities, and outstanding deliverables.
- Ensure that project milestones, deadlines, and action items are consistently tracked and communicated.
- Identify delays and obstacles early and take proactive steps to facilitate resolution.
- Provide senior management with timely, accurate, and actionable reporting.
- Maintain consistent follow-through with departments until assignments are satisfactorily completed.
- Promote accountability and responsiveness across participating departments.
- Demonstrate measurable progress toward established project objectives and organizational priorities.
Organizational Coordination and Authority
The Project Manager is authorized, within the scope of assigned initiatives, to coordinate directly with department heads and designated personnel, request necessary project information and status updates, monitor established deadlines, and facilitate the resolution of outstanding matters.
The position is expected to identify and elevate unresolved delays, missed commitments, and significant project obstacles to appropriate senior management.
The Project Manager does not exercise direct supervisory authority over departmental personnel. Responsibility for departmental operations, personnel management, and final departmental decisions remains with the respective department heads and authorized management personnel.
The position is responsible for maintaining the coordination, tracking, communication, and follow-through necessary to ensure that assigned organizational initiatives advance in accordance with established priorities and expectations.
