Assistant Director of Payroll

The Assistant Director of Payroll is responsible for the coordination, implementation, and supervision of all payroll functions. This position also ensures compliance with federal and state regulations including quarterly tax filings. This role requires a blend of leadership and "hands-on" technical skills, specifically in the use of advanced Excel functions to audit large datasets and an in-depth understanding of ERP systems.

Partner with Human Resources and Finance leadership on matters related to employee contracts, and extended leave program processing.

Direct daily operations of Payroll Specialists and Coordinators, providing technical guidance, mentorship and support.

Execute regular payroll processing with a commitment to 100% accuracy; ensuring all deadlines are met in compliance with division and legal requirements.

Establishes training sessions and ongoing communication with school and department based payroll representatives to ensure consistent application of Stafford Schools policies, regulations and practices.

Anticipates payroll related situations that will require clarification and cooperation between the Payroll Department and other division departments.

Sets the tone for how the department handles employee inquiries, ensuring the team resolves pay / leave discrepancies with empathy and timeliness.

Executes the preparation and filing of quarterly 941 and Virginia tax filings ensuring compliance with applicable tax laws.

Serve as the functional lead for ERP system troubleshooting collaborating with systems analysts and external vendors to resolve technical issues.

Recommends improvements for payroll process performance.

Serve as the subject matter expert on School Board Policies and state/federal regulations, ensuring all payroll and leave-related actions remain in strict legal and policy alignment.

Education Attainment (Required): Bachelor's degree

Relevant Experience (Required): Five (5) years progressive experience in payroll processing and ERP systems functions

Industry Licensure or Certifications (Preferred): SHRM or Payroll Certification (Fundamental Paroll Certification or Certified Payroll Professional)
