As a  Patient Coordinator for About Face Medispa, you will be responsible for ensuring that patients receive the highest quality of care and service. You will be the primary point of contact for patients, and will work closely with healthcare providers, masseuse, and estheticians to develop care plans and coordinate patient care services. You will also be responsible for managing patient records, scheduling appointments, and ensuring that patients receive exceptional treatment.

To be successful in this role, you should have excellent communication and interpersonal skills, as well as a strong understanding of medical terminology and procedures. You should also be highly organized and detail-oriented, with the ability to multitask and prioritize effectively.

 

Key Responsibilities:

· Greet patients with warmth and professionalism

· Answer incoming phone calls, schedule, confirm and take deposits for services

· Take payments, explain financial policies and Cherry options

· Develop care plans and coordinate patient care service

· Manage patient records, fax lab/test requests and maintain HIPPA compliance at all times

• Provide follow up calls, texts, and answer questions regarding their treatment, coordinate communication between providers, patients, and other staff when appropriate
• Report any complaints to the appropriate provider, masseuse, or esthetician
• Work closely with providers to coordinate services/treatments
• Provide patients with information about their health issues and treatment options. Report all areas of concern to provider
• Maintain a clean reception area and mild housekeeping tasks
• Assist with administrative tasks and daily clinic operations
• Function as an enthusiastic, reliable member of a team with the goal of providing exceptional service to all About Face Medispa patients

Additional Responsibilities:

· Open the spa and prepare rooms such as turning on lights, light housekeeping, (loading and folding laundry), and closing the spa at the end of the day

· Receiving shipments, entering inventory into AestheticPro software

· Record keeping for all shipments and deliveries, signing for same, taking packages and mail to the post office

· Maintaining correct time clock card entries and notifying owner of any variations

· Collecting financial data, entering credit cards on file, developing email and marketing tasks as described by owner

 

Qualifications:

• Strong understanding of medical terminology, procedures, previous clinic experience preferred
• Excellent communication and interpersonal skills with exceptional customer service attitude
• Highly organized and detail-oriented, problem-solving skills
• Ability to multitask and prioritize effectively in a fast-paced environment, comfortable and eager to learn new computer and software skills
• Manage incoming calls, texts, and other communication with efficiency and professionalism
