Job Description

The Project Engineer is an important member of the project team and provides administrative, technical, and field support to assist with the successful completion of construction projects. The Project Engineer works closely with the Project Manager, Senior Project Manager, Superintendent, subcontractors, vendors, architects, engineers, inspectors, and owners to support project coordination and ensure project information is accurate, organized, and communicated effectively.

The Project Engineer will primarily work on-site in a jobsite trailer or provided office space and may travel to UBC project locations throughout Butte County and surrounding areas. This position supports UBC's school, government, and public works projects throughout the project lifecycle, from pre-construction through closeout.

The Project Engineer is responsible for maintaining project documentation, coordinating assigned project activities, following up on outstanding items, and providing support to the Project Manager and field team. The position requires strong organization, attention to detail, communication skills, general construction knowledge, and the ability to manage multiple priorities.

Roles and Responsibilities

Project Documentation & Software

• Maintain organized and accurate project documentation throughout the project lifecycle.
• Utilize Procore for project documentation, communication, tracking, and project management activities.
• Utilize Bluebeam to review plans, specifications, drawings, and project documents and locate relevant information.
• Maintain project logs, records, correspondence, and other project documentation.
• Maintain and update project documentation as directed by the Project Manager.
• Assist with distributing current plans, specifications, revisions, and other project information to the appropriate project team members.
• Maintain accurate electronic and physical project files.
• Perform accurate data entry, typing, and document preparation.

RFIs, Submittals & Project Coordination

• Create, track, and maintain RFIs and assist with obtaining timely responses from architects, engineers, and other project team members.
• Create, track, and coordinate submittals from subcontractors and vendors through the approval process.
• Review submittals for completeness and coordinate corrections or missing information with subcontractors and vendors.
• Follow up on outstanding RFIs, submittals, approvals, and other project items.
• Assist the Project Manager and Superintendent with coordinating information required to keep project activities moving forward.
• Communicate project information and outstanding items to the appropriate team members.

Plans, Specifications & Construction Support

• Develop a working knowledge of project plans, specifications, drawings, and scope of work.
• Assist the Project Manager and Superintendent in identifying discrepancies, missing information, or potential conflicts in project documents.
• Use general construction knowledge to assist with project coordination and problem-solving.
• Assist with material quantity checks and basic takeoffs as assigned.
• Assist with tracking project progress and identifying outstanding items or potential delays for review by the Project Manager.
• Assist with coordination between office and field operations.

Meetings & Communication

• Attend project and owner meetings as requested.
• Document meeting discussions and prepare clear and accurate meeting minutes.
• Track meeting action items and follow up with responsible parties.
• Maintain professional communication with owners, architects, engineers, subcontractors, vendors, inspectors, and UBC employees.
• Make phone calls and send correspondence to obtain information, documentation, approvals, and updates.
• Communicate outstanding issues to the Project Manager or appropriate member of the project team.
• Maintain professional and respectful working relationships with all project participants.

Inspections, Permits & Compliance Support

• Assist with coordinating special inspections and maintaining related documentation.
• Assist with tracking required permits, inspections, approvals, and project documentation.
• Assist the project team with maintaining required safety and compliance documentation.
• Assist with project environmental and site documentation as directed by the Project Manager or Superintendent.
• Support the project team in maintaining documentation required by the contract, owner, and applicable regulations.

Closeout

• Assist with project closeout from the field and office.
• Track required closeout documents and outstanding items.
• Assist with collecting warranties, O&M manuals, product information, certifications, as-builts, and other required closeout documentation.
• Maintain closeout logs and follow up with subcontractors and vendors for outstanding documents.
• Assist with preparing and organizing final closeout packages for review by the Project Manager and submission to the Owner.

Field & On-Site Support

• Work primarily from the jobsite trailer or provided project office.
• Assist with coordinating deliveries and communicating delivery information to the field team.
• Perform light jobsite support duties, including opening and closing gates and buildings when required.
• Assist with maintaining an organized project office and supporting general site organization.
• Record daily weather conditions and document subcontractors and other relevant site activity.
• Operate a company drone when trained and authorized to do so and capture project progress photos or footage as requested.
• Visit other UBC project locations as needed.

Pre-Construction & Bid Support

• Assist the Project Manager with pre-construction activities as assigned.
• Assist with subcontractor and vendor outreach.
• Assist with collecting subcontractor scope information and pricing.
• Assist with organizing bid documents and maintaining bid-related records.
• Assist with scope definition and comparison of subcontractor information as directed.

Project Administration & Financial Support

• Assist with tracking subcontractor and vendor documentation.
• Coordinate with accounting and the Project Manager regarding project documentation needed for billings and pay applications.
• Assist with tracking purchase orders, invoices, commitments, and other project records as assigned.
• Maintain accurate project records and promptly communicate discrepancies or missing information.

General Responsibilities

• Take initiative in identifying outstanding project items and follow through on assigned responsibilities.
• Meet established deadlines and communicate promptly when additional assistance or direction is needed.
• Maintain confidentiality of company, project, owner, and employee information.
• Follow all UBC policies, procedures, safety requirements, and project-specific requirements.
• Perform other duties related to the position as assigned.

Qualifications

The ideal candidate will be organized, dependable, detail-oriented, and willing to take initiative. The candidate must be comfortable working in a construction jobsite environment and communicating with a variety of project personnel.

Preferred qualifications include:

• Experience in construction, project coordination, or a related field.
• Working knowledge of construction plans and specifications.
• Experience with Procore, Bluebeam, Microsoft Office, and Excel .
• Strong written and verbal communication skills.
• Strong organizational and follow-up skills.
• Basic construction math and ability to perform basic quantity calculations.
• Ability to manage multiple assignments and changing priorities.
• Ability to travel to UBC project locations as required.
• Construction Management, Engineering, or related education is preferred but not required.
