Position Summary
Provides administrative support including processing purchase orders, placing orders, and organizing paperwork in accordance with Sandia Pueblo Purchasing Department standard operating procedures.
Supervision Exercised
Supervised by the Purchasing Manager.
Major Duties and Responsibilities
1.Processes purchase requisitions, change orders, liquidations and service agreements in compliance with standard operating procedures for the Pueblo's departments.
2.Prints, distributes and files approved purchase orders.
3.Maintains and updates vendor files including:
- W-9's and vendor applications; insurance certificates; credit applications and other vendor documents required.
- Issues New Mexico NTTC's and other documents related to taxation of purchases.
- Prepares purchase requisitions for the Finance Department.
- Accurately enters transactions in the Pueblo's accounting programs.
- Receives supplies delivered to the Tribal Admin building, logging receipts and notifying departments.
- Assures correct pricing, quantity and quality of product received.
- Places and picks up orders for supplies at Sam's Club and other local vendors.
- Places orders for goods and services for approved purchase orders and credit card requests.
- Maintains electronic records.
- Coordinates with Accounts Payable to resolve invoice discrepancies.
- Coordinates return of merchandise and vendor return authorizations.
- Performs additional duties as necessary.

- Ability to utilize an automated accounting system.
- Proficient in Excel and Word.
- Proficient with a 10 key.
- Ability to analyze and solve problems.
- Ability to use discretion in working with sensitive or confidential records.
- Ability to be flexible and move from one task to another easily and quickly.
Minimum Qualifications, Education and Experience
Required:
- High school diploma or GED certification or equivalent.
- Two (2) years' experience in a position involved in the purchasing, shipping & receiving, or inventory management.
- Must have a valid NM Driver's License
Licensing Status
Must be able to successfully pass a Background Investigation
Working Conditions
- Work is normally performed in a typical interior/office work environment.
- Limited physical effort is required.
- Limited exposure to physical risk.
- Work hours subject to change with overtime work required.
- Must be able to work long hours under stressful conditions.
$27.35 - $30.38 per hour
