Lead Registration Administrator

Position Summary

The Lead Registration Administrtor leads the daily operations of the scheduling, registration, front desk, and clerical teams for a multi-site outpatient radiology practice. This leader ensures exceptional patient service, efficient workflows, accurate scheduling, insurance verification, and provider communication while driving productivity, quality, and employee engagement.

Leadership Responsibilities

• Directly supervise front desk, scheduling, registration, and authorization staff.

• Conduct hiring, onboarding, coaching, performance reviews, and corrective action.

• Build schedules, monitor staffing levels, and cross-train employees.

• Lead daily huddles and communicate operational priorities.

• Foster accountability, professionalism, teamwork, and patient-first service.

Operational Responsibilities

• Oversee scheduling for MRI, CT, PET/CT, Ultrasound, Mammography, X-ray, DEXA, and Fluoroscopy.

• Monitor schedule utilization and fill cancellations quickly.

• Ensure accurate registration, demographic verification, insurance capture, and collections.

• Manage authorizations and referral documentation.

• Coordinate STAT exams and urgent add-ons with technologists and radiologists.

• Support referring providers with scheduling and report requests.

• Resolve patient complaints and service recovery issues.

Rezolut / Multi-Center Workflow Experience Preferred experience with Exa RIS/EMR workflows, RingCentral call management, fax queue processing, provider communications, work queue management, report distribution, tracking open orders, prior authorizations, and collaboration with radiologists, technologists, sales, and center leadership across multiple imaging centers.

• High school diploma required; Associate's or Bachelor's degree preferred.

• 3–5 years of medical office or radiology experience.

• Prior supervisory experience preferred.

• Knowledge of RIS, PACS, EMR, insurance verification, and medical terminology.

• Strong leadership, communication, organization, and customer service skills.

Physical Requirements Ability to sit or stand for extended periods, frequent computer and telephone use, occasional lifting up to 25 pounds, and ability to work in a fast-paced outpatient imaging environment.
