About the Role

Join our Team! The City of Kentwood is seeking a Deputy City Clerk to support the operations of the Clerk's Office. This full-time position plays a key role in ensuring the accuracy, transparency, and efficiency of official City records, elections, and administrative services.

Working closely with the City Clerk, you'll help oversee daily operations, support staff, and serve as a trusted resource for residents, businesses, and internal departments. About the Clerk's Office

The Clerk's Office serves the community through election administration and voter registration, passport services, business licensing, cemetery administration and more. Clerk's Office team members are the first to answer phone calls to City Hall and are often the first stop for community members when they enter the building. They help answer questions or redirect individuals to the appropriate department that can best help them.

The City Clerk is the keeper of contracts and agreements, and acts as the FOIA coordinator for Kentwood except for the Police Department and 62-B District Court. Functioning as the Clerk to the City Commission, the Clerk also prepares agendas and maintains the official record of minutes, resolutions and ordinances.


What You'll Do
  • Assist in planning, organizing, and coordinating operations within the Clerk's Office
  • Support development and implementation of departmental goals, policies, and procedures
  • Prepare City Commission and Committee meeting packets; record, edit, and publish minutes
  • Maintain official records, ordinances, and documentation in compliance with legal requirements
  • Coordinate and administer elections, including scheduling, staffing, and election-day operations
  • Supervise and support Clerk's Office staff, including training and performance oversight
  • Process passport applications and track submissions to the U.S. Department of State
  • Issue and manage business licenses and maintain related databases
  • Provide notary services and validate official documents in the Clerk's absence
  • Assist with cemetery records and administrative activities
  • Respond to inquiries and provide excellent customer service to residents and stakeholders
Your work helps ensure the integrity of City operations and supports transparent, effective local government.

Minimum Qualifications
  • High school diploma or GED
  • Three years of administrative support experience, or an equivalent combination of education and experience
  • Michigan Driver's License
  • Notary Public
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple priorities and meet deadlines
  • Proficiency with standard office software, including word processing and spreadsheets
  • Previous elections experience preferred
  • Experience in a municipal or government setting preferred.

Pay and Benefits

Hourly pay range: $29.27 - $37.38 , depending on qualifications experience
