Dispatcher

Position Purpose The Service Dispatcher is responsible for coordinating the schedules of both the technicians and the customer, ensuring timely delivery of materials, and managing communication through electronic, paper, and phone channels between the company and the customer. They play a key role in maintaining the smooth flow and efficiency of the operational process. Essential Duties and Responsibilities Manage coordination tasks, including material and warranty purchases, returns, literature collection, and handling all incoming customer service requests. Schedule work based on priorities and needs, dispatching the appropriate technician(s) to ensure smooth operations. Coordinate with the customer to confirm the scheduled time for a technician to perform the required work. Ensure prompt and accurate completion of all necessary paperwork, such as timecards, job setups, and purchase orders. Maintain regular communication with field, sales, and management teams. Immediately inform customers of any changes to schedules or requests that cannot be accommodated, makes efficient use of communication tools. Keep supervisors updated on any relevant changes, customer feedback, or issues with pricing. Provide customers with confirmation of completed work through phone calls or emails. Demonstrate capability and interest in training others. Ensure no work is performed outside contractual obligations without proper compensation. Supply the sales team with qualified leads and notify them of any competitive sales activities. Understand the sales team’s responsibilities for each account. Schedule services to meet contract requirements, optimize labor usage, and monitor customer satisfaction. Work with other dispatchers as part of a team to ensure success. Other duties as assigned. Qualifications 3 years of dispatch or call desk experience, or an equivalent combination of education and experience. Demonstrated ability to manage multiple tasks at once in a fast-paced setting. Strong organizational skills with exceptional attention to detail. Ability to handle a high volume of calls while maintaining accuracy and efficiency. Excellent customer service skills, with the ability to stay professional and positive under pressure. Effective communication skills, both verbal and written, for engaging with customers and internal teams. Preferred Qualifications Associate’s degree in business Experience with MS project No candidate will meet every single desired qualification.
