Clerk Typist (City Attorney's Office)

Job Title

Under general supervision, performs a variety of routine clerical support duties including processing legal and official documents, typing, maintaining records, duplicating materials, compiling information using paper or electronic systems, and general public support in the City Attorney's Office; and performs related duties as assigned.

Essential Functions

• Performs clerical work including proofreading, skilled typing, data entry, checking and recording information on records for correctness, sufficiency of information and compliance with court rules, policies, procedures and practices;
• Answers telephones and greets customers at public counters; may respond to routine inquiries about department procedures;
• Assists the public by phone, and in-person with routine departmental transactions and/or inquiries;
• Open and distribute mail, including date and time stamping receipt and delivering to appropriate staff member for processing; review incoming mail, documents, verifying appropriate fees are included;
• Makes copies and collates materials for distribution.
• Maintain confidentiality of hard-copy records for non-electronic case types including preparing initial case file folders, attachments, and stores files in accordance with department case management system;
• Prepares and coordinate service processing for summonses, subpoenas and the like;
• Process purchase orders and accounting invoices/payments pursuant to department budget;
• Verifies the Court docket through Trial Court Information System (TCIS) regarding status of criminal cases;
• Performs other related duties as assigned.

Minimum Qualifications

Education, Training and Experience

Graduation from High School or GED equivalent; and,

One (1) year of administrative experience working in a local government, legal office, and/or government agency conducting checks on TCIS (Trial Court Information System), preparing subpoenas, processing purchase orders and accounting invoices/payments

Licenses and Certificates

A valid class C California driver's license and ability to maintain insurability under the City's vehicle insurance policy.
