Our clients include advertising agencies, production companies, and entertainment organizations working across the U.S. and internationally.While this role shares some similarities with a corporate travel agent position, the work is heavily focused on hotel strategy, group logistics, and production coordination rather than traditional leisure travel booking.The RoleWe are hiring a Travel Specialist with a hotel operations background to help manage hotel and travel logistics for fast-moving production teams.This role is ideal for someone who understands how hotels operate — inventory pressure, group blocks, guest expectations, and front office realities — and wants to apply that experience in a new environment.Instead of managing a single property, you’ll work with multiple hotels across different cities, coordinating accommodations and logistics for production teams and talent.Key ResponsibilitiesHotel Sourcing & CoordinationSource and secure hotel inventory for production teamsAssist with structuring and managing group room blocksMonitor cut-off dates, rooming lists, and reservation changesAlign hotel placements with production schedules and shoot locationsNavigate high-demand markets and limited availabilityHotel Communication & NegotiationWork with hotel sales teams and front office leadershipNegotiate competitive rates and concessionsSecure upgrades and special accommodations when possibleMaintain strong working relationships with hotel partnersProduction Travel LogisticsCoordinate ground transportation for crews and talentManage last-minute travel adjustmentsSolve logistical issues quickly and professionallyMaintain accurate documentation and billing recordsRequired ExperienceWe are specifically seeking candidates with hotel supervisory/managerial operations experience, such as:Front OfficeGuest ServicesReservationsHotel ManagerBachelor's Degree is requiredCandidates should have experience with:Managing group reservations or room blocksHandling guest escalations and service recoveryWorking in high-demand operational environmentsCoordinating with hotel leadership and sales teamsPreferred ExperienceHotel sales exposureGroup reservations experienceEntertainment, production, or VIP client exposureHospitality management degreeWho Thrives in This RoleCalm under pressureOrganized and detail-orientedStrong communicatorComfortable solving problems quicklyAble to manage multiple moving parts simultaneouslyWhy Work With UsWork behind the scenes of major music tours, films, television productions, and commercial shoots, with opportunities for career growth and occasional industry travel perks.Location: Tampa, FLThis is a full-time, in-office role.
