Job Description: The E-Billing Specialist will be responsible for the implementation and coordination of all e-billing activities. ESSENTIAL FUNCTIONS Implementations: Work with new and existing external clients to set them up for e-billing in one of ~50 different third-party e-billing portals. Provide W-9, banking information, insurance certificate, and other requested documents to clients. Work with attorneys, Legal Practice Assistants (LPAs), and Matter Data Management Team (MDMT) to set up new and existing clients for e-billing in 3E. Review Outside Client Guidelines (OCG) and summarize the billing instructions for attorneys, LPAs, and Client Billing Coordinators (CBCs). Coordinate with Professional Standards to obtain approval for OCGs where firm is required to accept or approve them in the e-billing portal. Maintain internal database of e-billed clients and their compliance requirements. Work with clients and attorneys to get matters set up for e-billing in both client’s e-billing system and 3E. Timekeepers and Rates: Maintain working timekeeper lists in 3E for clients that require approval of timekeepers and monitor for new timekeepers needing approval. Work with clients and attorneys to make sure all timekeepers are approved in the different e-billing portals. Work with attorneys, clients, Pricing, and MDMT to ensure correct rates are coded in 3E and uploaded in the different e-billing portals. Work with attorneys, clients, Pricing, and MDMT regarding annual rate increases. Budgets and Status Reports: Help attorneys enter budgets, status reports, and matter profile information in the different e-billing portals. Invoice Submissions: Submit invoices as LEDES files either through the eBillingHub or manually to the different e-billing portals. Submit PDFs of invoices to e-billing portals that do not accept LEDES files. Track all invoice submissions in the eBillingHub or manually on spreadsheets. Understand the various LEDES billing formats 98B, 98BI, XML (specifications, limitations, etc.). Understand UTBMS codes and instruct MDMT to code them in 3E. Review invoices and make sure timekeepers and rates are approved before submission. Review invoices and make sure they adhere to clients’ guidelines. Work with attorneys, LPAs, and CBCs to make sure they understand clients’ guidelines to prevent repeated errors. Track clients’ monthly and year-end billing deadlines and inform attorneys, LPAs, and CBCs so the deadlines can be met. Rejections and Reductions: Identify, research, and troubleshoot rejected and reduced invoices for resolution and resubmission. Notify and work with attorneys, LPAs, and CBCs to resolve rejections and reductions that e-billing cannot resolve on their own. Submit appeals of rejected and reduced invoices. Submit write-off requests of rejected and reduced invoices that cannot be appealed. Escalate issues as needed to e-Billing Supervisor, Billing Manager, and Director of Revenue Operations. Accruals: Calculate and submit monthly, quarterly, and annual accruals to clients via the different e-billing portals. Collections / Cash Receipts: Work with Collections to look up invoice statuses in the different e-billing portals. Report e-billing status for specific clients and deliver reports as requested to the Director of Revenue Operations. Work with Cash Receipts to make sure payments are posted to the correct invoices. Other: Attend training webinars for new and existing e-billing portals to understand how they work and learn new features. Set up attorneys and LPAs with access to Legal Tracker and help them resolve any technical login issues. Perform other duties, as assigned. Be present at work during regularly scheduled working hours and as needed in the position, consistent with the firm’s attendance expectations. SPECIFIC SKILLS REQUIRED Experience with the major e-billing portals (Legal Tracker, CounselGO, Brightflag, TyMetrix360, CounselLink, Collaborati, CounselGO, Passport Collaboration Portal, BillingPoint). Strong Excel skills, including VLOOKUP and pivot tables. Proficient in Outlook and Adobe Pro. Excellent organizational and time management skills. Must be able to think strategically, giving careful attention to detail with a commitment to quality and accuracy, and maintaining a focus on priorities while meeting strict deadlines in a fast-paced and high-volume environment. Able to take the initiative and have a proactive work style. Must be assertive, and able to exercise proper judgment with solid analytical and problem-solving skills. Ability to work independently and also contribute to a cohesive team environment. Excellent interpersonal, written, and oral communication skills with attorneys, staff, vendors, and clients are needed. Ability to maintain confidential information. Willingness to learn and develop new skills. Flexibility to work overtime as required. SPECIFIC SKILLS PREFERRED Experience with minor e-billing portals. Experience with 3E and eBillingHub. EDUCATION AND EXPERIENCE Requires a minimum of 2-3 years of experience with legal e-billing in a law firm. AA or BA degree preferred. The listed compensation range reflects the typical pay for this role, though it is rare for new hires to receive an offer at the top of the range. Actual compensation may vary depending on experience, skills, market conditions, and internal equity.
