Assistant Office Administrator. Job in Washington Move Collective Jobs

Join Our Dynamic Team The Direct Hire Division of Consilio, LLC is excited to connect you with a global firm that is looking for an Assistant Office Administrator for their Washington, DC office. Please note that this is a direct hire, permanent opportunity with the law firm, not with Consilio directly. About the Role As an Assistant Office Administrator (AOA), you will collaborate closely with attorneys and staff, reporting to the Senior Office Administrator. We are looking for proactive, communicative, and organized individuals with exceptional judgment skills who can expertly manage human resource, administrative, and operational tasks. You'll build strong relationships across the office and maintain a fair application of procedures and policies while upholding integrity and ethical behavior. Your Responsibilities Will Include Conduct daily office walk-throughs to identify needs and recommend solutions to the Senior Office Administrator. Maintain and update office resources such as floor maps and phone directories. Assist the Senior Office Administrator in addressing employee relations and policy matters effectively. Provide guidance on staffing issues and ensure adherence to Firm policies. Participate in hiring processes for non-attorney staff, including screening and interviewing candidates. Collaborate with the Human Resources and Training departments to manage employee onboarding and offboarding processes. Aid in conducting 90-day and annual performance reviews for support staff, alongside overseeing the evaluation process. Help identify training needs and arrange supplemental training for staff. Contribute to the client service orientation of the office by ensuring streamlined procedures and suggesting workflow enhancements. Regularly review and update the Washington DC intranet page. Provide temporary support for the Senior Office Administrator during absences. Plan and execute engaging office activities, events, and projects. Ensure professional and timely communication with clients and Firm personnel. Manage multiple calendars with efficiency. Reconcile invoices and expenses accurately. Coordinate travel arrangements as needed. Follow building and garage access protocols diligently. Act as a liaison with building management and security. Complete other duties as assigned by the Senior Office Administrator. Qualifications We Are Looking For Minimum three years of prior administrative experience, preferably within a law firm. Exceptional reading, proofreading, and writing skills. Outstanding listening, comprehension, and communication abilities. Ability to communicate effectively and collaborate closely with the Senior Office Administrator. Experience in event planning and making comprehensive travel arrangements. Capable of managing high email volumes with prompt and accurate responses. Demonstrated proficiency in the full Microsoft 365 suite. Willingness to quickly learn tools such as Monday.com, SharePoint, Zoom, Teams, Brivo, Rendezvous, Quickbook, Datawatch, and Jawnt. Exceptional organizational and time management skills. Professional appearance and positive attitude are essential. Ready to assist wherever needed with a cheerful disposition. Flexibility to work beyond normal office hours when necessary. Ability to maintain strict confidentiality. Strong attention to detail and sound judgment. Open to feedback, approaches issues fairly, and works independently. Proven leadership qualities. Education Bachelor's Degree in a related field. CLM or SHRM CP and/or SCP preferred. Logistics, Salary, & Benefits This position requires physical presence in the Washington, DC office Monday through Friday, with rare exceptions. Centrally located office near most metro lines. The salary range for this position is $85,000 to $110,000 annually, with eligibility for an annual discretionary bonus. FLSA Status: exempt.
