Medical Receptionist

Lake Washington Pain Management

About the Position

Lake Washington Pain Management is a very small, independently operated pain management clinic in the Totem Lake area of Kirkland . Because our team is small, this is a hands-on position where front office staff share a wide range of responsibilities.

We are looking for a reliable, self-directed Medical Receptionist who is comfortable taking ownership of tasks, communicating well, staying organized, and figuring things out when needed.

This is not a highly compartmentalized front-desk job . Everyone contributes to keeping the clinic running, and responsibilities can overlap from day to day.

Your Responsibilities

Responsibilities include, but are not limited to:

Patient check-in and check-out

• Greeting and communicating with patients professionally
• Checking patients in and out
• Collecting copays and other patient payments
• Updating and verifying demographic and insurance information
• Scheduling and rescheduling appointments

Prior authorizations and insurance

• Submitting and following up on prior authorizations
• Communicating with insurance companies
• Discussing billing and insurance questions with patients
• Following up on outstanding administrative or insurance issues

Clinical support / patient preparation

• Preparing patients for visits
• Preparing and ordering urine analyses (UAs)- this is a big part of this job. Running labs usually takes 4 hours a week for each receptionist
• Performing and coordinating laboratory-related tasks within the scope of the position and clinic procedures
• Preparing the clinic and patient materials for appointments

Communication

• Answering incoming phone calls and voicemails
• Returning patient calls and messages
• Communicating with pharmacies regarding prescription-related issues
• Communicating with physicians and other healthcare offices
• Relaying information accurately between patients, providers, pharmacies, laboratories, and other parties

Clinic operations

• Keeping the front office and clinic clean and organized
• Participating in a weekly clinic cleaning routine
• Monitoring office supplies and placing orders when needed
• Helping with general administrative tasks necessary to keep the clinic operating smoothly

Previous medical receptionist, medical front office, or healthcare administrative experience is preferred.

An Important Part of This Job

Because our clinic is very small, communication and flexibility are extremely important .

The doctor is not necessarily physically present in the clinic from 9:00 AM–5:00 PM every day but is always available by phone and when needed. The doctor is primarily present when patients are scheduled for appointments. This means front office staff must be comfortable keeping the clinic running during periods when the doctor is not physically in the office.

You will be given training, support, and the space to learn , but this position requires someone who can eventually figure things out independently, identify what needs to be done, and take ownership of responsibilities without constant supervision .

At the same time, knowing when to ask questions or communicate an issue is essential. We are looking for someone who can balance independence with good judgment and communication .

Monday–Friday
8:30 AM–5:00 PM

This is a regular weekday position with no weekend schedule. You are expected to be here during all clinic hours, and only taking time off as is available by earned PTO hours. Time off is any time not at work during scheduled clinic hours.

Compensation & Benefits

Pay: $23.00-$24.00 per hour dependent on prior experience

Benefits: Employees are eligible for employer sponsored health and retirement plans, if desired, after one continuous year of employment.
