You are a hands-on team player who enjoys working behind the scenes, coordinating moving parts, and finding solutions when plans change. You communicate clearly, follow established processes, and take ownership of making sure the Learning and Development team has what it needs to deliver successful programs and events.

As the Learning & Development Coordinator, you will support the day-to-day coordination and administration of ARCO Design/Build's learning programs and events. You will maintain timelines, checklists, rosters, calendars, and learning records while coordinating vendors, venues, materials, and participant communications.

You will work closely with Program Managers and cross-functional partners to confirm details, meet deadlines, and ensure programs are prepared and delivered smoothly. You will also support contracts, invoices, payment documentation, event closeout, and program recordkeeping.

Coordinate the administrative and logistical details of learning programs, workshops, meetings, and events.

Maintain planning timelines, task lists, checklists, run-of-show documents, and tracking tools.

Coordinate venues, accommodations, meeting space, audio/visual needs, food and beverage, transportation, signage, printing, activities, and event materials.

Support participant communications, registration, reminders, and event preparation.

Provide administrative and technical support before, during, and after programs and events.

Assist with event closeout, including attendance records, feedback, final materials, vendor documentation, and payment follow-up.

Maintain accurate participant rosters, training calendars, registration records, rooming lists, attendance records, and learning documentation.

Support learning management system administration, course assignments, completion tracking, and reporting.

Process monthly new-hire and associate changes to keep learning records current.

Verify participant information, program details, dates, locations, and status.

Support continuing education and professional development tracking.

Respond to routine participant, registration, scheduling, and learning system questions.

Coordinate vendor communications, proposals, pricing comparisons, revisions, and follow-up.

Assist with contracts and route agreements through the appropriate review and approval process.

Organize invoices, payment requests, receipts, deposits, and supporting documentation.

Track deadlines, approvals, payment status, and outstanding vendor items.

Maintain organized program files, including contracts, invoices, attendance records, surveys, and final materials.

Use established checklists and templates to review work for accuracy and completeness.

Partner with Program Managers, L&D team members, Marketing, Human Resources Business Partners, Legal, Accounting, and other internal teams to coordinate program requirements and resolve issues.

Bachelor's degree in Business Administration, Human Resources, Education, Communications, or a related field, or equivalent relevant experience.

One to three years of experience in coordination, administration, event planning, learning and development, human resources, or a related field.

Strong attention to detail and commitment to accuracy.

Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.

Ability to follow established processes, take direction, and consistently follow through.

Strong written and verbal communication skills.

Proficiency with Microsoft Office, including Outlook, Word, and Excel.

Ability to work independently while keeping team members informed of progress and potential issues.

Ability to handle confidential and sensitive information with discretion.

Flexibility and problem-solving skills in a fast-paced environment.

Experience supporting learning and development, human resources, training programs, or corporate events.

Experience with a learning management system or training administration platform.

Experience coordinating vendors, contracts, invoices, travel, or event logistics.

Experience creating and maintaining tracking tools, checklists, templates, or standard operating procedures.

Experience supporting programs across multiple offices or locations.
