Program Coordinator

Program CoordinatorReporting directly to the Director of Children & Family Services, the Program Coordinator provides cross-functional programmatic, case management, administrative, and operational support across the Children & Family Services division. The position supports the coordination and implementation of program activities, participant and family services, data collection and analysis, documentation and recordkeeping, outreach and community engagement, partnership development and cultivation, referrals, events, grant-related activities, and other departmental priorities. The Program Coordinator works collaboratively across programs to support service delivery, maintain accurate and timely program information, monitor established goals and deliverables, identify follow-up needs, and connect youth and families with appropriate internal and community-based resources. The position also assists the Director with special projects and evolving program needs to promote consistency, coordination, accountability, and effective service delivery across the Children & Family Services continuum. This position has no staff supervisory or performance-management responsibilities and reports directly to the Director of Children & Family Services.Essential Duties and Responsibilities:Coordinate the day-to-day activities of the Mentoring Children of Promise (MCP) Program in accordance with established program requirements, goals, policies, and procedures.Recruit and enroll eligible youth and recruit, screen, orient, and support prospective mentors through the established enrollment and matching process.Coordinate appropriate mentor/mentee matches and maintain required follow-up with mentors, youth, and parents/caregivers.Maintain accurate and current participant, mentor, and match records, including case notes, enrollment documents, contact records, service documentation, and required program data.Monitor program activity and maintain tracking systems for youth served, mentor recruitment, pending participants, active matches, group mentoring activities, referrals, and other established performance indicators.Coordinate individual and group mentoring activities, orientations, trainings, youth engagement opportunities, and program events.Maintain an assigned caseload, when applicable, and provide limited case management services, including assessment of participant and family needs, follow-up, resource navigation, referrals, and service coordination.Provide referrals and link youth and families to appropriate VOASELA programs and external community resources based on identified needs.Develop and maintain positive working relationships with schools, community organizations, faith-based organizations, juvenile justice partners, families, businesses, and other referral or recruitment partners.Support community outreach and recruitment activities across Children & Family Services programs as directed.Assist with data collection, program reports, grant documentation, file reviews, participant follow-up, and preparation for monitoring, audits, and closeout activities.Assist the Director with tracking program deliverables, deadlines, participant outcomes, and other information necessary to monitor program performance.Provide administrative and operational support across Children & Family Services, including maintaining program records, preparing documents, coordinating meetings and activities, organizing files, and supporting special projects.Assist with planning and implementation of Children & Family Services events, community activities, outreach initiatives, and special projects.Participate in regular supervision with the Director of Children & Family Services and provide timely updates regarding program activities, caseload, barriers, outcomes, and assigned responsibilities.Complete required Agency and regulatory training and maintain compliance with applicable policies, procedures, grant requirements, and documentation standards.Perform related duties as assigned by the Director of Children & Family ServicesAdditional Duties and Responsibilities (Non-essential):Adhere to the designated dress code as stipulated for the specific role.Supervisory Duties:None. This position does not directly supervise, evaluate, discipline, or manage employees. The Program Coordinator may coordinate program activities, communicate task-related information, and collaborate with staff, interns, volunteers, mentors, and community partners as necessary to fulfill assigned program responsibilities. Personnel supervision and performance management remain the responsibility of the Director of Children & Family Services or other designated management staff.Key Contacts:Serves as representative of the Agency with respect to third party vendors providing training-related products and servicesUtilizes the Relias Learning Management System to maintain compliance with all required training courses.Maintains regular contact with youth, parents/caregivers, mentors, schools, community partners, referral sources, and other stakeholders necessary to support MCP and Children & Family Services activities.Collaborates with Children & Family Services staff and other VOASELA departments as directed to support participant services, referrals, program operations, and special projects.Knowledge, Skills and Abilities:This position requires knowledge, skills, and abilities equivalent to:Bachelor's degree level in social service field and/or five years' experience working with youth.Excellent verbal and written communication skills, proficient computer skills in MS Office, Word, Excel and Access are required.Ability to manage multiple priorities, meet established deadlines, and follow through on assigned responsibilities.Ability to maintain professional boundaries, confidentiality, and appropriate communication with youth, families, mentors, staff, and community partners.Ability to receive direction and feedback and make necessary adjustments to support program effectiveness.Requires the willingness to be responsive to the needs of the target population and the ability to function as part of the team.Special Requirements:Must have:Current driver's license issued by state of residenceCurrent Vehicle Inspection decalCurrent vehicle insuranceCurrent vehicle registration in state of residenceSatisfactory Motor Vehicle ReportMust be able to pass a criminal history investigationBe able to obtain Cardiopulmonary Resuscitation, First Aid certifications
