Position Summary: The Documentation Manager works closely with the Sales, Underwriters, Account Management and Portfolio Management and their teams to ensure accurate and process driven results in regards to Buy-Outs, Inventory Transfers, Curtailment adjustments, Subordinations and MSO transactions.


Essential Duties and Responsibilities include the managing of the following. Other duties may be assigned.
• Customer Service - Provide prompt, professional and proficient assistance to customers. Includes but not limited to handling inquiries regarding submissions, collection of data, and timely results.
• Team Environment - Team environment is essential for this role success and would require participation to ensure communication and process expectations are met.
• Submission packages -ensure complete package to accounts with all required accurate information and ensure approval at correct authority level specifically to Buy-outs and Subordination.
• Underwriting documentation - Clearly understand legal documentation packages and conditions based upon accounts credit decision and communicate to both sales and customers.
• Condition follow-up - Monitor, communicate and process conditional items for complete buy-out, transfers, subordination and decision of file. Resolution on all outstanding conditions/issues. communication and system inputs that reflect status of file related to buy-outs. Communicate to management on any risk issues and non-complete conditions.
• Credit processes - Assist all function of the process, the front end and back-end process associated with buy-outs, subordinations, MSO and transfers and ensure buy-out occur in a timely manner.
• Administrative Duties - Process buy-out payments, inspections, reports as related to function.
• Manage internal system inputs and processes, including customer account modifications.
• Special projects - as assigned.

o Detect and identify varying associated related businesses.
• Generate accurate comments in system of record.
• Understand all requirements of MSO process.
• Identify and evaluate borrower's structure to facilitate buy-outs.


o Ability to navigate on government official web sites.

o Analyze organizational structures.


o Analyze and detect deficiencies in corporate verifications.

o Research and analyze UCC filings to determine priority and nature of each filing and effect on loan package.


o Ability to generate notifications to other lenders using corporate forms.
• Evaluate Credit Conditions and buy-out requirements and communicate to borrowers, sales and management.

o Maintain in system of record detailed notes and exceptions.

o Communicate to Underwriter/Operations on deficiencies in requirements for buy-outs, Subordinations, MSO's.

o Accurately build communication of credit decision in regard to buyouts, MSO's and Subordinations.

o Accurately understand legal documentation and impact on Transfers, Buyouts, and Subordination.


o Ensure accuracy and compliance regarding loan documentation.

o Accurately communicate follow up on conditions, issues with transactions.

o Review legal documentation to ensure transactions are accurately structured and adequately secured

o Ensuring system of record reflects transactions.
• Highlight material factors on buyouts and communicate to management.
• Understand industry, market, and management risks that can affect a borrower.
• Ensure completion of all requests within the required corporate time target.
• Drive business improvements to identify new initiatives and enhance process efficiencies.

Education/Experience:

Bachelor's degree from a four-year college or university preferred or equivalent work experience. Prior Management experience preferred.


Language Ability:

Ability to read and interpret documents such as operating instructions and policy and procedure manuals. Ability to draft customers facing emails and correspondence on a regular basis. Ability to communicate effectively via phone with a variety of sales, underwriter, manufacturer/dealer contacts.


Math Ability:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to interpret graphs.


Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written or oral format. Ability to deal with problems involving several concrete variables in standardized format.


Computer Skills:

Microsoft Office required, specifically Salesforce, DocuSign, Outlook, Word, Excel, and Access

Manage the processes and the team members associated to processes.
