IP Docket Analyst

The IP Docket Analyst will provide detailed, accurate information on a daily basis to IP attorneys and staff regarding client information and deadlines, assisting the overall effective operations of the Docket Department. The Analyst maintains their assigned docket portfolios according to established policies and procedures, performs all job functions relating to the review of documents and established process and procedure, and exercises discretion and confidentiality in maintaining contact with clients, attorneys, and staff for docket-related matters. The Analyst works closely with Docket Specialists and other team members to meet the firm’s goals. Essential Duties and Responsibilities Read, sort and distribute incoming patent mail from the USPTO, all other foreign government agencies, and/or foreign associates in a timely manner and in accordance with established procedures. Provide guidance and respond to docket‑related questions and problems from the IP team of attorneys and staff. Ensure full docket clearance daily, monitoring workflow and maintaining integrity of the filing logs in accordance with established policies and procedures. Maintain an accurate docket database and provide reports as requested or required. Electronically distribute USPTO mail to attorneys and staff. Scan client and legal documents to the firm’s electronic document management system. Process abandoned and/or inactive files. Maintain positive contact with attorneys, staff and clients while observing confidentiality of the Docket Department and firm’s clients. Ensure accuracy and completeness of docketing of documents received from the USPTO within the requirements set by the Code of Federal Regulations, clients, all other foreign government agencies, and/or foreign associates. Maintain and distribute an electronic global docket calendar, as assigned, for domestic/international patents and as required within established guidelines and procedures. Manage foreign invoices and data within the firm’s designated applications. Maintain e‑files through the firm’s IP Management System/iManage integration. Perform special projects as assigned, with accuracy and within the specified timeline. Knowledge, Skills and Abilities Effective verbal and written communication skills. Ability to work under pressure while producing a high volume of information with a high level of accuracy. Excellent proofreading skills. Ability to identify and analyze complex issues and problems in relation to managing data. Strong attention to detail. Ability to work independently as well as collaborate with team members. Effective interpersonal skills to communicate and follow instructions from a diverse group of attorneys and staff. Ability to multi‑task, work independently with minimal supervision, and deliver high quality results under pressure. Proficient knowledge of docket software applications. Proficiency in Microsoft Office Suite. Education and Experience High school degree or equivalent. College degree or equivalent specialized training (e.g., paralegal studies) beneficial. Minimum of four (4) years of progressive intellectual property experience. Demonstrated experience with and strong understanding of domestic/foreign patent matters.
