About the Role
The Events Coordinator is the operational heart of The Anderson Paso's event program. You pick up where the Sales Manager leaves off — once a contract is signed, you own the entire experience through event day: building detailed BEOs, coordinating vendors and staffing, managing logistics, and ensuring every event is executed flawlessly and on-brand. This is a detail-oriented, client-facing role that requires strong organizational skills, calm under pressure, and a genuine passion for hospitality.

The Study — Up to 12 seated | 500 sq ft | Intimate meetings, small dinners, wine experiences
Anderson Hall — Up to 200 theater / 150 seated dining | Soaring ceilings, floor-to-ceiling windows, indoor-outdoor flow
Hall Terrace — Up to 250 guests | Expansive outdoor wrap with mature olive trees and vineyard vistas
East & West Rooftops — Up to 125 guests each | Panoramic wine country views, sunset events, cocktail receptions
What You'll Do
Event Operations & BEO Management
Receive signed contracts from the Sales Manager and own the event from contract through completion
Create and manage detailed Banquet Event Orders (BEOs) for every event
Confirm menu selections and finalize event details with clients no later than 14 days prior to event date
Conduct a full facility walkthrough and setup check 48 hours before each event
Coordinate all vendor relationships including caterers, AV, florals, rentals, and entertainment
Collect and file Certificates of Insurance (COIs) from all vendors and applicable clients
Build and manage event-day staffing schedules in coordination with the venue and F&B team
Client Communication & File Management
Maintain complete and organized client files from contract through post-event close
Serve as the primary point of contact for clients from contract signing through event day
Send timely communications for confirmations, logistics, and day-of details
Conduct post-event debrief with clients and internal team; complete post-event reporting
Day-of Execution
On-site presence required for all events — set up, execution, and breakdown
Manage vendor arrivals, setup timelines, and event flow in real time
Troubleshoot issues calmly and efficiently to ensure a seamless guest experience
Coordinate with kitchen, bar, and floor staff to ensure smooth F&B execution
Additional Responsibilities
Contribute to the development of operational systems and templates for events across the portfolio
Participate in venue tours and client walkthroughs as needed
What We're Looking For
2+ years of event coordination or banquet operations experience, preferably in a venue, hotel, or hospitality setting
Experience creating BEOs and managing vendor logistics
Strong written and verbal communication skills — you're the face of the event to clients
Highly organized with the ability to manage multiple events simultaneously
Comfortable working evenings and weekends (event days are when you shine)
Proficiency with event management or hospitality software a plus
A calm, solutions-focused presence when things don't go according to plan
Compensation & Benefits
Salary: $55,000 – $65,000 DOE
