Office services associate

We are seeking a detail-oriented Office Service Associate - Mail to support daily mailroom operations, including sorting, distribution, shipping, and inventory management. This role is essential to ensuring timely, accurate handling of incoming and outgoing mail while maintaining compliance with postage regulations and internal processes.

This position plays a key role in supporting day-to-day operations, requiring strong attention to detail, organization, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

• Sort and distribute incoming mail accurately and efficiently to appropriate departments
• Conduct scheduled internal mail runs to ensure timely delivery
• Process outgoing mail, including USPS, FedEx, UPS, and other accountable shipments
• Operate postage equipment to meter outgoing mail in compliance with current rates and regulations
• Prepare and process specialized mail (certified, registered, etc.) following established procedures
• Collect outgoing mail from designated areas to maintain workflow consistency

• Maintain a clean, organized, and professional mailroom environment
• Monitor and manage mailroom inventory, including ordering and stocking supplies
• Maintain accurate logs and records for incoming and outgoing mail

• Respond to requests, questions, and service needs in a timely and professional manner
• Support overall client experience through reliable and consistent service delivery

• Provide basic print and document support, including copying, binding, and finishing as needed
• Perform quality checks to ensure accuracy and professionalism of completed work

• Participate in training and development to enhance role knowledge and performance

Qualifications:

• High school diploma or equivalent required; college degree preferred
• Minimum 1 year of experience in mailroom, office services, or similar role
• Proficiency in Microsoft Office and basic technology tools
• Strong attention to detail with the ability to multitask and prioritize workload
• Ability to maintain confidentiality of sensitive information
• Strong communication and customer service skills
