Position Summary

The City of Bozeman is now accepting applications for a Grants Coordinator. The Grants Coordinator will coordinate, develop, plan, organize, and implement the City of Bozeman grant program including post-grant award administration. This position will also develop, compose, and apply for grants to obtain available funding from various programs and projects on behalf of City Departments.

Examples of Essential Work (Illustrative Only)

• Coordinates develops, plans, organizes, and implements the City’s grant program including post grant award administration;

• Researches and conducts analyses for grant opportunities, notifying departments about availability;

• Develops, composes, and applies grant proposals to obtain available funding from various programs and projects on behalf of City departments;

• Monitors grant budgets, expenditures, revenue, and prepares withdrawals of funds for approval and submittal;

• Ensures compliance with all applicable rules and regulations, including donor requirements, government standards, and accounting and financial reporting;

• Maintains and organizes grant files and reimbursement records;

• Prepares financial and performance reports, providing technical assistance regarding grant reports and City reporting systems as needed;

• Monitors grant status, including collecting data necessary for reimbursement requests and determining progress;

• Coordinates with appropriate departments to develop and submit materials required for final grant reporting;

• Drafts correspondence including letters, legal notices, and grant-related documents;

• Acts as liaison to grantees and contract holders;

• Responds to information inquiries regarding grants;

• Keeps immediate supervisor and designated others accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems;

• Attends meetings, conferences, workshops, and training sessions and reviews publications and audio-visual materials to become and remain current on principles, practices, and new developments in assigned work areas;

• Responds to citizens’ questions and comments in a courteous and timely manner;

• Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities;

• Performs other duties consistent with the role and function of this classification.

Minimum Required Qualifications

• Bachelor’s Degree in Business Administration, Public Administration, English, or related field; and

• Considerable (2-4 years) progressively responsible experience in grant writing and administration, preferably in a government or non-profit environment, or

• Any combination of experience and training which provides the equivalent scope of knowledge, skills, and abilities necessary to perform the work.

Required Knowledge, Skills, and Abilities

• Thorough knowledge of standard grant procedures including proposal development and preparation, grant administration, financial reporting, and program evaluation;

• Thorough knowledge of grant availability and how to research and monitor grant opportunities;

• Thorough knowledge of terminology, processes, and techniques to successfully apply for and obtain outside funding;

• Thorough knowledge of State, local, federal, county, corporate and foundation grant procedures, audits, and compliance requirements;

• Some knowledge of or ability to quickly learn the overall functions, duties, and responsibilities of the other City departments;

• Ability to research, compile and develop clear, concise, and accurate reports and associated documentation;

• Ability to maintain collaborative and effective working relationships with external parties;

• Ability to communicate effectively with others, both orally and in writing, using both technical and non-technical language;

• Ability to understand and follow oral and/or written policies, procedures, and instructions;

• Ability to prepare and present accurate and reliable reports containing findings and recommendations;

• Ability to operate a personal computer using standard or customized software applications appropriate to assigned tasks;

• Ability to use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions;

• Ability to work independently;

• Ability to utilize specialized spreadsheets, word processing, financial management, and database software applications programs;

• Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines;

• Ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology;

• Ingenuity and inventiveness and the use of the appropriate levels of discretion in the performance of assigned tasks;
