Position Purpose

Under the supervision of the building principal, the Head Secretary serves as a key member of the high school administrative team and coordinates the daily operations of the school office.

The Head Secretary provides administrative and clerical support to the principal and school staff; assists students, families, employees, and visitors; coordinates communication and records; and helps ensure the high school office operates efficiently, professionally, and confidentially.

The position requires someone who understands that a high school office can move quickly. One moment may involve assisting a student, the next communicating with a parent, preparing information for an administrator, helping a staff member, or responding to an unexpected situation.

As a 12-month-contracted employee, the Head Secretary also provides year-round continuity for building operations, including summer preparation, communications, records, purchasing, scheduling, and other administrative responsibilities necessary to close one school year and prepare for the next.

What You'll Do / Performance Responsibilities

  • Coordinate and support the daily operations of the high school office

  • Serve as a primary point of contact for students, families, staff, visitors, and community members

  • Provide administrative and clerical support to the building principal and other administrators

  • Communicate information accurately and professionally through phone, email, correspondence, and in-person interactions

  • Maintain student, personnel, and building records with accuracy and confidentiality

  • Assist with student enrollment, registration, records, scheduling, and other school processes as assigned

  • Support attendance processes and communication with students, families, and staff

  • Assist with records and documentation related to student enrollment, transfers, withdrawals, and other high school processes

  • Prepare correspondence, reports, forms, schedules, and other school documents

  • Coordinate calendars, meetings, appointments, building activities, and administrative deadlines

  • Support communication and organization related to high school events, activities, programs, and special events as assigned

  • Assist with purchasing, requisitions, invoices, supplies, and office inventory

  • Help coordinate substitutes, staff information, and other daily building needs

  • Support administrators and staff with the many deadlines and activities associated with the high school calendar

  • Assist with school-year opening and closing procedures and summer preparation for the upcoming year

  • Work collaboratively with other high school office staff to ensure efficient operations and appropriate office coverage

  • Welcome and assist students who come to the office with questions, concerns, or needs

  • Help students navigate school procedures while encouraging appropriate independence and responsibility

  • Maintain a calm, professional, and student-centered environment — even on the busiest days

  • Maintain strict confidentiality regarding students, families, personnel, and district business

  • Contribute to a positive and supportive high school culture

  • Perform other duties and responsibilities as assigned by the principal or superintendent

Qualifications

  • High school diploma or equivalent required

  • Previous administrative, clerical, office-management, or school office experience preferred

  • Strong computer and technology skills

  • Strong interpersonal and customer-service skills

  • Experience working with adolescents or in an educational environment preferred

  • Additional certification, experience, or qualifications as determined by the principal and superintendent

Physical Demands

  • Work is performed primarily in a school and office environment

  • Position requires regular interaction with students, staff, families, and visitors

  • Duties may require periods of sitting, standing, walking, bending, reaching, and moving office materials or supplies
