Monday - Friday, 20-25 Hours per week
Key Responsibilities
- Project Documentation: Manage project files, track schedules and milestones, and handle paperwork like purchase orders, change orders, and subcontracts.
- Communication & Coordination: Answer phones, reply to emails, and act as a main point of contact for clients, vendors, and subcontractors. Solicit bids and quotes for new materials or jobs.
- Financial & Compliance Support: Process vendor and subcontractor invoices, track lien waivers, and help manage compliance documents like W9s and insurance certificates.
- General Office Duties: Handle data entry, maintain electronic and physical filing systems, order office supplies, and schedule meetings.
Qualifications & Skills
- Experience: High school diploma with 6 months to 2 years of administrative or construction industry experience.
- Software Proficiency: Strong working knowledge of Microsoft Office Suite (especially Excel and Word) and familiarity with construction management software
- Soft Skills: Excellent multi-tasking, organization, written communication, and time-management abilities.
