Payroll Administrator

Positions like Payroll play a critical role in ensuring employees are paid accurately and on time, maintaining compliance with payroll regulations, and supporting the organization’s financial health. Position Summary The Payroll Specialist is responsible for the accurate and timely processing of biweekly and monthly payroll while ensuring compliance with federal, state, and local payroll regulations. This role manages payroll‑related reporting, tax filings, commissions, garnishments, employee verifications, unemployment claims, and payroll system maintenance. The ideal candidate is highly organized, detail‑oriented, and able to effectively manage multiple priorities in a fast‑paced environment while maintaining a high level of accuracy and confidentiality. Job Responsibilities: Input data from timecards and timesheets, maintain employee files and records, and produce and balance payroll runs. Produce federal, state, and local tax payments and returns and respond to employee payroll‑related questions. Generate overtime reports for management and other reports as required; produce general ledger account distribution entries for all payroll transactions. Oversee the direct deposit program and maintain banking information within payroll and accounting systems. Process monthly commissions and commission clearing activities. Prepare and distribute annual W-2 forms. Maintain Time Trak requests and employee payroll changes. Process employee verification requests for mortgage applications, refinances, and auto loans. Administer wage garnishment documentation and payments. Complete unemployment claims in coordination with Human Resources. Balance and maintain employee tool loans. Perform all other duties as assigned. Minimum Skills and Qualifications Associate’s degree in accounting, Finance, Business Administration, or a related field required. 2-5 years of payroll experience preferred. Knowledge of payroll systems, withholding requirements, tax payments and filings, general ledger reporting, account reconciliations, pension and 401(k) deductions, audit procedures, and payroll compliance. Strong understanding of payroll processing and payroll accounting functions. Demonstrated ability to multitask, prioritize competing responsibilities, and meet strict deadlines. Exceptional attention to detail and commitment to accuracy. Strong organizational, communication, and problem‑solving skills. Ability to handle confidential information with professionalism and discretion. Physical Requirements: Primary functions require sufficient physical ability and mobility to work in an office setting, to stand or sit for prolonged periods, and to occasionally stoop, bend, kneel, crouch, reach, and twist as required. Ability to lift, carry, push or pull light to moderate amounts of weight. Ability to operate office equipment requires repetitive hand movement and fine coordination, including a computer keyboard. Ability to verbally communicate to exchange information. The noise level in the work environment is usually quiet in office settings and moderate to loud in other situations, with both constant and sudden loud noises possible.
