As a Client Operations Specialist, you will play a critical role in ensuring a seamless client experience by supporting account openings, transfers, annuity and insurance applications, and ongoing operational processes. Your work will directly impact our clients’ financial futures while supporting our advisors and operations team. KEY SKILLS: Exceptional attention to detail and organizational skills Ability to manage multiple priorities and time-sensitive paperwork Strong problem-solving and critical-thinking abilities Excellent verbal and written communication skills Self-motivated with the ability to work independently Process-driven mindset with a commitment to accuracy Comfortable utilizing electronic signature platforms and digital workflows Strong follow-through and accountability Ability to build positive working relationships with advisors, clients, and business partners RESPONSIBLITIES: As a Client Operations Specialist, you will be responsible for ensuring all client accounts and new business are processed accurately, efficiently, and in good order while delivering an exceptional experience for both clients and advisors. Responsibilities Include: Review, prepare, and process new account applications and related paperwork submitted by advisors Ensure all required forms, signatures, and supporting documentation are complete and accurate prior to submission Submit applications and account paperwork to the appropriate insurance carriers, custodians, broker-dealers, and investment companies Coordinate and monitor account transfers, rollovers, annuity transactions, and other new business activities Proactively follow up with carriers, custodians, transfer companies, and business partners to keep applications and transfers moving forward Research and resolve application issues, deficiencies, and outstanding requirements Maintain accurate records and document all activity within the firm’s CRM and operational systems Communicate account and application status updates to advisors, clients, and internal team members in a timely and professional manner Support client service requests and operational initiatives as needed Identify opportunities to improve workflows and enhance operational efficiency Collaborate with team members to ensure a consistent and exceptional client experience Perform additional duties and special projects as assigned MINIMUM REQUIREMENTS: A client-first mindset and commitment to service excellence Strong sense of ownership and accountability Ability to work effectively in a collaborative team environment A positive attitude and desire to contribute to a strong team culture A passion for helping clients achieve financial confidence through exceptional service and operational excellence Preferred Experience: Previous experience in a financial advisory, wealth management, insurance, or broker-dealer environment Experience processing annuity applications, transfers, and account servicing requests Working knowledge of tax-qualified and non-qualified accounts Experience with brokerage, advisory, and life insurance accounts Intermediate to advanced computer skills, including proficiency in Microsoft Excel Experience with CRM systems and electronic document management platforms preferred ADMINISTRATIVE/MISC: BENEFITS Medical Insurance Vision Insurance Short-Term Disability Long-Term Disability Basic Life Insurance 401(k) PTO HOURS M-F 9am-5pm Why Join Us?
