POSITION SUMMARYWe are seeking an experienced and highly motivated Commercial Property Manager to oversee a portfolio of approximately 30 commercial properties located throughout Northwest Ohio. This is a hands-on leadership role responsible for the day-to-day operations, maintenance, tenant relations, financial performance, and long-term physical integrity of each asset. The ideal candidate brings deep expertise in commercial facilities maintenance and takes pride in keeping properties safe, functional, and well-presented.
KEY RESPONSIBILITIES Property Maintenance & Facilities Management
- Develop, implement, and manage a comprehensive preventive maintenance program across all 30 properties, including HVAC, roofing, plumbing, electrical, parking lots, and exterior/interior common areas
- Conduct regular property inspections (interior and exterior) on a scheduled and as-needed basis; document findings and drive timely corrective action
- Coordinate and supervise maintenance staff, in-house technicians, and third-party contractors, ensuring work is completed on time, within budget, and to quality standards
- Maintain detailed maintenance logs, work order systems, and service records for all properties
- Manage emergency maintenance response — available on-call for urgent issues including roof leaks, HVAC failures, plumbing emergencies, and security breaches
- Oversee capital improvement and renovation projects from planning through closeout, including bid solicitation, contractor management, and budget tracking
- Ensure compliance with all applicable building codes, fire/life safety regulations, ADA requirements, and local ordinances
- Develop and maintain a vetted vendor/contractor network capable of covering all trades across the Northwest Ohio region
- Serve as the primary point of contact for tenants; build and sustain strong, professional relationships
- Respond promptly to tenant maintenance requests and concerns; ensure resolution and follow-up communication
- Administer lease agreements, renewals, and tenant move-in/move-out processes
- Coordinate tenant improvement (TI) projects and ensure buildouts meet lease specifications and code requirements
- Prepare and manage annual operating and capital budgets for each property in the portfolio
- Oversee rent collection, CAM reconciliations, and monthly financial reporting
- Identify and implement cost-control initiatives without compromising property quality or tenant satisfaction
- Review and approve vendor invoices, purchase orders, and service contracts within authorized spending thresholds
- Maintain accurate and organized property files, permits, warranties, certificates of insurance, and inspection records
- Coordinate property insurance renewals and manage claims processes as needed
- Monitor and ensure compliance with environmental regulations applicable to commercial properties
- 5+ years of commercial property management experience, with a portfolio of at least 15-20 properties strongly preferred
- Demonstrated, hands-on expertise in commercial building maintenance — candidates must be able to evaluate maintenance needs, read work orders, understand contractor bids, and hold vendors accountable to quality standards
- Solid working knowledge of commercial building systems: HVAC, roofing, electrical, plumbing, fire suppression, and life safety
- Proven experience managing capital improvement projects and multi-trade contractors
- Strong financial acumen with experience in budget preparation, CAM reconciliation, and financial reporting
- Excellent organizational skills with the ability to manage competing priorities across a large, geographically dispersed portfolio
- Outstanding communication and interpersonal skills — able to interface effectively with tenants, contractors, ownership, and local authorities
- Valid Ohio driver's license and reliable transportation; regular travel among NW Ohio properties is required
