Order Entry Specialist (Seasonal Opportunity with Potential for Permanent Hire)

Our client is seeking a detail-oriented Order Entry Specialist to join their Operations team during a critical seasonal period. This position plays a key role in ensuring customer orders are processed accurately and efficiently while delivering a positive customer experience.

Key Responsibilities

Order Processing & Data Entry

• Accurately enter customer orders received via email, mail, fax, and online channels.
• Review orders for completeness and accuracy prior to processing.
• Maintain a high level of productivity while meeting quality standards.
• Update customer records and order details within Microsoft Dynamics and other internal systems.
• Navigate multiple software platforms to process and track orders efficiently.

Research & Problem Resolution

• Investigate and resolve missing, incomplete, or inaccurate order information.
• Identify discrepancies and correct data entry errors before orders are fulfilled.
• Manage and monitor orders placed on hold, proactively working toward resolution.
• Escalate issues when appropriate to ensure timely order completion.

Customer Communication

• Contact customers regarding missing information, order clarifications, or outstanding requirements.
• Communicate primarily through email, with occasional outbound phone calls.
• Deliver professional and timely customer service throughout the order process.
• Respond to customer inquiries and provide status updates as needed.

Administrative Support

• Process incoming mail and supporting documentation.
• Maintain accurate records and order-related documentation.
• Share customer feedback with appropriate internal teams.
• Assist with additional operational and administrative tasks as assigned.

Qualifications

Required

• 1+ year of experience in:
  • Order Entry
  • Data Entry
  • Administrative Support
  • Customer Service
  • Call Center Support
  • Office Administration
• Strong data entry and keyboarding skills.
• Proficiency with Microsoft Office Suite.
• Ability to work in a fast-paced, high-volume environment.
• Strong attention to detail and accuracy.
• Excellent written communication and organizational skills.
• Ability to multitask and prioritize responsibilities effectively.
• Dependable attendance and strong work ethic.

Preferred

• Experience in a high-volume transaction processing environment.
• Experience using Microsoft Dynamics.
• Familiarity with ERP or CRM systems.

Job Type & Location

This is a Contract to Hire position based out of Rolling Meadows, IL.

The pay range for this position is $20.00 - $20.00/hr.
