What you'll do includes welcoming clients and patients with warmth, professionalism, and compassion, serving as a primary point of contact for clients in person and by phone, answering incoming calls and responding to client questions, scheduling appointments and managing daily hospital calendars, checking clients and patients in and out for appointments, processing payments and providing receipts, reviewing invoices and helping answer basic billing questions, maintaining accurate client and patient information, entering and updating information in the hospital's practice management software, documenting client communication clearly and accurately, communicating appointment instructions, hospital policies, and service information, coordinating information between clients and the medical team, assisting with medical record requests and general administrative tasks, maintaining confidentiality of client and patient information, helping manage client expectations during busy or stressful situations, maintaining a clean, organized, and welcoming reception area, supporting veterinarians, technicians, assistants, and fellow reception team members, helping maintain an efficient front-desk and hospital workflow, and creating a positive experience for every client and patient. What you'll bring includes previous experience in a veterinary or medical receptionist role, experience with ezyVet is preferred, excellent verbal and written communication skills, strong organizational and time-management abilities, the ability to multitask in a fast-paced environment, confidence managing multiple calls, appointments, and responsibilities, comfort using computers and learning veterinary software, strong attention to detail and accurate data-entry skills, a warm, professional, and approachable demeanor, compassion for pets and the people who care for them, the ability to remain calm and empathetic during emotional situations, a responsible, dependable, and proactive work style, a positive attitude and team-first approach, strong problem-solving and client service skills, a willingness to learn and continue developing professionally, and a commitment to creating an excellent client experience.
