Description:

The Closing Coordinator is a detail-oriented, organized professional who supports both IT administration and real estate closing operations. This position provides day-to-day technical support, manages systems, software, and user access, and coordinates closing activities while maintaining accurate transaction documentation. This role requires strong organization and excellent customer service along with professionalism in handling compliant real estate transactions.

• Receive, review contracts and document management.
• Send Welcome Letters to all parties.
• Prepare, review and create closing documents.
• Coordinate scheduling with buyers, agents, lenders, and attorneys.
• Schedule & Coordinate closing dates and times while monitoring possible delays.
• Tracking deadlines and Contingencies, along with Backlog.
• Maintain Accurate Deposit Money records and Validate Receipts.
• Manage Mailbox and House Keys for the closing attorneys.
• Close out processes and procedures within SharePoint.
• Maintain organized digital files and transaction checklists.
• Resolve issues or discrepancies before, during, or after closing.
• Communicate proactively with all parties to ensure transparency and timely updates.
• Follow up on the backlog internally and third parties.

Required Skills & Qualifications

• Strong organizational and multitasking abilities.  
• Excellent written and verbal communication skills.  
• High attention to detail and accuracy.  
• Knowledge of real estate procedures, title processes, escrow, compliance regulations.  
• Proficiency with Microsoft Office/Microsoft 365.  
• Ability to manage multiple transactions simultaneously under tight deadlines.  
• Knowledge of Enterprise, New Star Program Administration, training provided.
