Records Specialist

Records Specialist Cleveland, OH | On-Site Daily

Tucker Ellis LLP is seeking a Records Specialist to join our team in the Cleveland office. This role will support attorneys, paralegals, and staff by maintaining, organizing, and retrieving legal files, ensuring accurate indexing, and managing offsite storage. The ideal candidate will have a legal administrative background, strong attention to detail, and the ability to quickly learn file management systems and procedures.

Key Responsibilities

• Learn and maintain proper procedures for organizing and indexing client/matter files in Pro-law, including accurate numbering and labeling
• Fulfill records requests from attorneys, paralegals, and staff in a timely and accurate manner
• Create, label, and organize new client/matter files according to established procedures
• Ensure files are complete, properly indexed, and updated in the system whenever they are retrieved or received
• Prepare files for offsite storage, including accurate indexing, barcoding, and transportation
• Recall files and manage off-site storage logistics
• Generate reports on file status, location, and activity as needed
• Maintain a high level of organization, accuracy, and attention to detail in all file management tasks
• Perform other records-related functions as required and as articulated by records department leadership

Qualifications

• Legal administrative experience required; prior legal records experience preferred
• Strong attention to detail and accuracy in data entry
• Ability to learn and follow established filing systems and procedures
• Strong organizational and time management skills
• Professional and collaborative demeanor
• Proficiency with Microsoft Office Suite preferred

Physical Requirements

• Must be able to lift and move boxes weighing up to 50lbs.
• Frequent standing, walking, and bending may be required to access, retrieve, and store files

Compensation

The target compensation range for this role is $19.00- $24.50/ Hour, but final compensation will be determined based on years of experience and relevant skill set.
