Legal Secretary / Assistant Matter Mobility Reviewer

Seattle, WA

GENERAL PURPOSE

Under the direction of the Information Governance Manager, the Assistant Matter Mobility Reviewer will be responsible for reviewing physical and electronic documents related to outgoing matters transfers according to established guidelines and procedures.

ESSENTIAL FUNCTIONS

  • These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.
  • Assist with reviews of physical and electronic document for outgoing file transfers according to established guidelines and procedures.
  • Proactively maintain an overview of workload; follow established processes to ensure each task is appropriately tracked and carried through to completion.
  • Escalate issues involving the content of client files to supervising paralegal
  • Coordinate with and take direction from the Information Governance team with respect to assignments, deadlines, and prioritization of work.
  • Perform other duties, as assigned.
  • Be present at work during regularly scheduled working hours and as needed in the position, consistent with the Firm’s attendance expectations.

TRAVEL

This position may require travel.

SPECIFIC SKILLS REQUIRED

  • Ability to communicate effectively, both orally and in writing, and establish effective working relationships throughout operational groups.
  • Excellent organizational skills for prioritizing workload and adjusting to shifting priorities.
  • Ability to work independently and as a member of a team.
  • Demonstrated ability to pay attention to detail, exercise discretion, and maintain extreme focus.
  • Good knowledge of standard business computing environment and basic office equipment, including familiarity with network file shares and Microsoft Office applications. Ability to quickly master new software.
  • Available to work in the office.
  • Ability to move and manipulate physical files, binders, and other media associated with outgoing transfers, including lift boxes weighing up to 35 pounds.

EDUCATION AND EXPERIENCE

Requires a 2-year degree or work equivalent experience in a law firm setting.

LEVEL OF SUPERVISION

Immediate

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

No formal supervisory or functional management responsibility.

JUDGMENT AND IMPACT OF DECISIONS

The effect of this position’s judgment and decisions impacts others or the work group.

PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is regularly required to sit; use hands to type, finger, handle, or feel; talk; and hear. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds, including carrying of standard laptop and related computer equipment as well as physical files, binders, and boxes. Specific vision abilities required by this job include close vision for reading print materials, email and a computer screen, and ability to adjust focus. Unless hired to work an alternative shift, employees are expected to work during regular business hours, ranging from 8:00am to 6:00pm.

WORKING CONDITIONS/ENVIRONMENT

Will work in a standard office environment, a home office or other dedicated work space with frequent usage of standard office equipment tools, software and communications platforms; including, but not limited to a personal computer, video conferencing, instant messaging copy/scanning machine, and telephone. Overtime hours or hours beyond normal business hours may be required to meet deadlines and ensure timely completion of deliverables.
