Facilities Coordinator (Part-Time) at Clark Atlanta University Part Time Atlanta, GA, US 4 days ago Requisition ID: 3287 Salary Range: $22.00 To $25.00 Hourly Job Title: Facilities Coordinator (Part-Time) Reports To: Facilities Director Works Closely With: Maintenance Supervisor Location: Clark Atlanta University Suites & Heritage Commons Compensation: $22.00-$25.00 per hour FLSA Status: Non-Exempt Capstone On-Campus Management (COCM), with headquarters in Birmingham, Alabama, is a group of student housing professionals focused exclusively on the management of housing communities owned by non-profits and/or highly affiliated with a university. Summary The Facilities Coordinator provides administrative and operational support for Facilities and Maintenance at CAU Suites & Heritage Commons, including work orders, vendors, purchasing, invoices, scheduling, and reporting. The ideal candidate is organized, responsive, and able to manage multiple priorities in a fast-paced student housing environment. This is initially a temporary position with the potential to become permanent after four months, based on site needs and the applicable hiring process. Conversion is not guaranteed. Essential Duties and Responsibilities: Coordinate and track daily maintenance work orders and service requests through completion. Monitor open, pending, deferred, and completed work orders with the Maintenance Supervisor. Maintain accurate records, follow up on outstanding items, and communicate status, delays, and concerns. Escalate time-sensitive, safety, or operational issues as appropriate. Schedule and coordinate approved vendors, contractors, inspections, and service visits. Maintain vendor and Facilities calendars and coordinate site access. Follow up on service completion, proposals, documentation, and invoices. Maintain organized vendor records and documentation. Prepare weekly maintenance reports and maintain departmental trackers, calendars, and records. Monitor supplies and coordinate approved purchases, deliveries, and order follow-up. Process Facilities invoices, expenses, and supporting documentation. Provide administrative support to the Facilities Director, including scheduling, documentation, meetings, and special projects. Provide additional Facilities support during peak periods, including move-in, move-out, turn, inspections, and other operational needs. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High school diploma or GED and one to two years of administrative, clerical, facilities, property management, maintenance, or related experience. Strong organizational, communication, customer service, record-keeping, and follow-through skills. Ability to manage multiple priorities, meet deadlines, and proactively communicate updates, delays, and concerns. Proficiency with Microsoft Word, Excel, and Outlook and standard office equipment. Experience coordinating work orders, vendors, purchasing, invoices, service requests, or maintenance operations preferred. Experience with QWare or a similar computerized maintenance management system (CMMS) preferred. Ability to work effectively with maintenance staff, vendors, contractors, management, and campus stakeholder Ability to move up and down stairs and move and lift up to 35 pounds. Ability to work 100% in-office Monday-Friday during posted office hours up 25 hours per week. Work Hours/Schedule Monday-Friday during office hours up 25 hours per week.
