Department Overview The Division of Undergraduate Education is a campus-wide network of programs, people, and partnerships dedicated to student academic success. The Division of Undergraduate Education brings together professionals and programs dedicated to supporting students, from K–12 outreach through graduation. The Division oversees key areas that shape the undergraduate experience and includes: Campus Advising Coordination, Summer Session, Colleges Academic (Cowell, Stevenson, Crown, Merrill, Kresge, Oakes, Porter, Rachel Carson, College Nine, and John R. Lewis), Academic Integrity Office and the Educational Partnership Center (EPC General, EAOP, K-12 Regional Alliances, Research & Evaluation, K-12 STEM, MESA, CAL-SOAP, CRLP, and GEAR-UP). The Division of Global Engagement facilitates international partnership agreements, international research opportunities for faculty, student global learning programs, international student and scholar support, and globally-focused programming. The units within Global Engagement include: Global Learning, International Student Services & Programming, and Global Initiatives. The UE’s Shared Services Center led by the Assistant Vice Provost and Assistant Dean, provides centralized support for financial, staff HR (SHR), academic HR (AHR), space needs, administrative and operational assistance, communications, and executive advising for the Divisions of Undergraduate Education, Global Engagement, and Enrollment Management. Our shared service center also provides AHR support to the Division of Student Affairs and Success and The Teaching and Learning Center in the Division of Academic Affairs. More information can be found at: Job Summary The Human Resources Support Analyst within the Shared Services team provides human resources and academic personnel support, serving as an operational liaison between the Colleges, Undergraduate Education (UE), Divisional Academic HR, Staff Human Resources, and other participating divisions. The position delivers responsive, high-quality customer service while applying established university policies, procedures, and labor regulations to HR operations and personnel transactions. APPOINTMENT INFORMATION Budgeted Salary: $31.47 - $43.30/Hourly. Salary commensurate with skills, qualifications and experience. Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. Supports instructional course scheduling. Prepare, review, and process HR and academic personnel documentation, ensuring accuracy, completeness, compliance with university policies, and adherence to established timelines. Coordinate onboarding and offboarding activities to ensure a seamless employee experience and compliance with university requirements. Coordinate faculty appointment and reappointment and workload change processes by preparing appointment files for Provost review and approval, drafting appointment and reappointment letters, and assembling academic dossiers for submission to the Divisional Academic Personnel Office. With the guidance of senior staff, advise faculty, supervisors, and academic administrators on appointment and review timelines, documentation requirements, and applicable academic personnel policies, procedures, and collective bargaining agreements. 30% - HR Liaison Serves as liaison between the UE Academic HR Office and the academic units the office supports in the shared services model. Liaisons with Staff HR and the Academic Personnel Office to track progress on job descriptions, recruitments, and classification reviews, and other personnel actions. Facilitates recruitment activities as needed. May liaison with Employee Labor Relations as needed. Provides HR Support and other related duties as assigned, including summer session and academic year personnel hiring. Provides payroll data support to other Academic HR Analysts. 30% - Policy With the support of senior staff, provides advice and guidance as needed related to HR matters, including academic policy, summer salary, appropriate use of academic titles, and so forth, by analyzing and interpreting system-wide and organization policies, collective bargaining agreements, academic and staff personnel procedures and practices. Keeps abreast of new and changing contracts and personnel policies related to academic employees and represented staff employees. Required Qualifications Bachelor's degree in related area and / or equivalent experience / training. Demonstrated ability to work effectively as a member of a team. Excellent organizational skills and attention to detail. Problem solving skills with the ability to think critically, analyze data, and use sound judgment in responding to issues. Experience independently managing multiple priorities, deadlines, and confidential personnel matters while maintaining accuracy and attention to detail. Working knowledge of HR policies and processes Demonstrated written communication skills, with the ability to explain HR policies and procedures clearly to diverse audiences. Demonstrated ability to provide responsive customer service and build effective working relationships with employees, managers, and organizational partners. Experience with databases; desktop computer proficiency, including word processing, email, calendaring software, internet research, and spreadsheets, and the ability to learn complex systems. Familiarity with compliance tracking, reporting or audit support. Preferred Qualifications Knowledge of UC policies, procedures, and HR systems.
