zTrip is seeking a highly organized and customer-focused Fleet Support Admin to provide essential support to our growing driver network and operations team. This role plays a key part in ensuring drivers receive the resources, communication, and administrative assistance they need to succeed while helping maintain efficient day-to-day operations.

As the Fleet Support Admin, you'll work closely with drivers, dispatch, recruiting, and leadership to manage onboarding processes, maintain accurate records, support compliance efforts, and streamline administrative functions. What You'll Do as a Fleet Support Admin:

Driver Support & Coordination

• Serve as a primary point of contact for drivers seeking administrative assistance and operational support.
• Assist new drivers throughout the onboarding process, including scheduling orientations and processing required documentation.
• Provide timely answers to driver questions and direct concerns to the appropriate departments when necessary.
• Support drivers by ensuring they have the information and resources needed for success.
• Communicate company updates, procedures, and operational changes clearly and professionally.

Records & Compliance Management

• Maintain accurate and confidential driver records and documentation.
• Monitor licenses, permits, certifications, and renewal requirements.
• Update driver information within company systems and databases.
• Conduct regular audits to ensure compliance with company policies and documentation standards.
• Assist with compliance tracking and record retention initiatives.
• Ensure critical records remain organized, secure, and readily accessible.

Administrative & Operational Support

• Coordinate onboarding sessions, training activities, meetings, and administrative appointments.
• Support daily operational functions through data entry, reporting, and process management.
• Work collaboratively with dispatch, recruiting, and management teams to ensure smooth driver operations.
• Prepare reports and maintain spreadsheets used for workforce planning and operational tracking.
• Assist with special projects and department initiatives as assigned.
• Identify opportunities to improve workflows and administrative efficiency.

Driver Engagement & Communication

• Build positive relationships with drivers and internal stakeholders.
• Support driver engagement initiatives through proactive communication and follow-up.
• Assist in resolving routine driver concerns while escalating complex issues appropriately.
• Help foster a professional, supportive, and driver-focused culture.
• Contribute to efforts that enhance driver satisfaction and long-term retention.

Reporting & Organizational Support

• Generate reports related to onboarding, compliance, driver records, and operational performance.
• Maintain databases, tracking tools, and administrative logs.
• Provide leadership with accurate information to support planning and decision-making.
• Assist with scheduling coordination and workforce support initiatives.
• Support continuous improvement efforts through accurate recordkeeping and reporting.

Qualifications of a Fleet Support Admin:

Preferred Experience

• Experience in administration, customer service, transportation, logistics, fleet operations, human resources, or a related field.
• Strong organization and multitasking abilities.
• Excellent written and verbal communication skills.
• High attention to detail and accuracy.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong problem-solving and interpersonal skills.
• Proficiency with Microsoft Office and business software systems.
