Communications Project Manager

- Facilitating quarterly planning meetings with departments across the organization to generate quarterly forecasting proposal to Director of Communications for upcoming marketing and communications needs, identify major campaigns and projects in advance, proactively providing insights for planning of team capacity and timelines in collaboration with the Communications Team, and support strategic prioritization and resource allocation. Maintain visibility across the full pipeline to help balance workloads, identify bottlenecks, and inform upcoming resource needs.
- Analyzing team workload and forecasting of communications team capacity to help anticipate staffing or contractor needs, under guidance of Director of Communications. Coordinate with external contractors or vendors when internal capacity is limited, ensuring deliverables meet deadlines, budget expectations, and quality standards.
- Developing and sharing reports on project volume, team workload, and resource utilization to help communications leadership forecast capacity, evaluate contractor needs, and make informed staffing and budget decisions.
- Using systems-thinking to connect the dots across projects, departments, workflows, and organizational goals, helping stakeholders understand broader impacts and make informed communications decisions.
- Serving as the primary point of contact for internal stakeholders requesting marketing and communications support, acting as a trusted guide.
- Facilitating the communications team's project management system, software, and processes, including evaluating organizational needs, configuring workflows, supporting internal client adoption and training, improving processes, and ensuring the system effectively supports collaboration, transparency, prioritization, and long-term planning.
- Working with Communications Team to lead discovery and planning conversations with departments to understand broader goals, identify connections across initiatives, ask thoughtful questions, recommend communications approaches, define the scope, and determine required resources.
- Applying judgement within established guidelines and practices to manage project timelines, budgets, and resources to ensure deliverables are completed on time, within scope, and at a high standard of quality.
- Maintaining projects in the project management system by assigning producers, ensuring team members are tracking statuses, monitoring deadlines, and overseeing review and approval processes.
- Communicating proactively and clearly with stakeholders about project progress, timelines, scope changes, competing priorities, and expectations throughout the life of a project.
- Listening carefully to internal clients to identify the project scope, potential challenges, gather feedback, and ensure projects align with organizational goals and audience needs.
- Collaborating with print vendors to obtain quotes, manage production logistics, and advise internal teams on formats, timelines, and mailing preferences.
- Sending quarterly website review reminders to department stakeholders and supporting them in identifying and implementing content updates with the Comm Team and/or external contractors.
- Supporting the communications team with writing and editing, including content creation and proofreading communications materials for accuracy, clarity, and brand consistency.
- Creating copy for events, newsletters, campaigns, and marketing collateral.
- Reviewing and refining materials created by other departments, including fundraising appeals, ad copy, event scripts, and marketing collateral.
- Maintaining familiarity with Habitat for Humanity brand guidelines and style guide.
- Have 3+ years of progressive experience in project management within a marketing or communications environment, including 1-2 years of writing or editing experience in a marketing or communications environment. (Or 1+ years of progressive experience and relevant bachelor's degree.)
- Demonstrate experience leading project management processes for marketing or communications teams, including managing timelines, workflows, approvals, and stakeholder communication.
- Be highly organized with exceptional attention to detail and the ability to manage multiple projects and competing deadlines simultaneously.
- Be a proactive problem solver who can anticipate future needs, think holistically, analyze workloads, forecast team capacity, and help guide prioritization decisions.
- Possess strong interpersonal and communication skills, including the ability to listen carefully, ask thoughtful questions, and build strong working relationships across departments.
- Be confident leading conversations with clarity, empathy, professionalism, and accountability while setting realistic expectations and guiding decision-making.
- Take initiative to solve problems, improve processes, identify gaps, and keep projects moving forward with minimal oversight.
- Have strong writing and editing skills, including the ability to support communications work and review materials for clarity, accuracy, tone, and brand consistency.
- Demonstrate sound judgment and the ability to work independently while contributing collaboratively within a multidisciplinary team.
- Be adaptable, responsive, and solutions-oriented in a fast-paced environment with evolving priorities.
- Have experience using project management software (e.g. Wrike or similar platform).
- Have experience collaborating with graphic designers, copywriters, web developers, print vendors, and clients.

- Project Management Professional (PMP) certification
- Your workday will be located in a human-paced, team-oriented, business-casual style office setting.
- Depending on the position's responsibilities, you may be eligible for remote/hybrid work based on performance, and access to essential work-related resources.
- While in the office, you will routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
- An office-based role means that your day will be mostly sedentary, with some time spent moving files, open filing cabinets, bending, and/or standing on a stool as necessary.
- Occasionally you will travel between other Habitat locations or temporary worksites.
- 40-hour work week, generally Monday - Friday 8:30am-4:30pm
- Occasionally you may be asked to work overtime
