Department: Job Summary: Coordinates day-to-day fiscal, administrative, and operationalactivities of a defined, program or set of funded activities.Programs are usually focused to a single purpose, may bescientific, research, educational, or service oriented, and mayexist as a subset of an integrated funded program activity. Dutiestypically include assisting with grant planning and administration,fiscal, budgetary, and/or other associated transactions, programimplementation and administration, internal and externaloperational/administrative liaison, program marketing, andreporting. Job Description: Working closely with the Director and Associate Director of the UMInstitute for the Arts, this position provides comprehensiveoperational and communications support for interdisciplinaryinitiatives, programs, public events, and community partnerships.As the Institute’s primary staff coordinator, this role ensurescontinuity, professionalism, and organizational effectivenessacross all Institute activities. The Program Coordinator serves as the administrative backbone ofthe Institute, enabling leadership to focus on strategic vision,academic innovation, and external engagement. Key Responsibilities Operational and Budget Management Coordinate day-to-day administrative operations of theInstitute. Support budget tracking, purchasing, reimbursements, andfinancial documentation in accordance with universitypolicies. Assist with event logistics including space reservations,contracts, catering, travel arrangements, and technicalneeds. Maintain organized records, databases, and reportingsystems. Monitor timelines and project milestones to ensure initiativesremain on schedule. Communications & Public Visibility Serve as the primary communications coordinator for theInstitute (faculty, students, staff, alumni, and communitypartners). Facilitate communication among departments of Art & ArtHistory, Music, and Theatre & Film related to Instituteinitiatives. Draft and distribute newsletters, announcements, pressreleases, and internal communications. Manage website updates and social media platforms. Coordinate marketing materials for programs, public events, andsignature initiatives. Support storytelling efforts that highlight faculty, student,and community accomplishments. Ensure consistent branding and messaging aligned with theuniversity. Support grant submissions and reporting processes incollaboration with university offices. Assist in preparing reports, presentations, and materials forcollege and university leadership. Program & Event Support Provide administrative support for interdisciplinaryprograms. Coordinate logistics for community-facing events. Support visiting artists, speakers, and partners withscheduling and hospitality arrangements. Assist with tracking participation, engagement data, and eventoutcomes. Support experiential learning initiatives, internships, andpartnership agreements as needed. Preferred Qualifications Bachelor’s degree in arts administration, communications,business, or related field. Demonstrated experience in administrative coordination oroperations management. Strong written and verbal communication skills. Experience managing multiple projects with attention to detailand deadlines. Proficiency with office software, website content managementsystems, and social media platforms. Ability to work independently while collaborating effectivelywith diverse stakeholders. Graphic design and/or digital communications skills. Experience in higher education and nonprofitorganizations. Familiarity with university budget and procurementsystems. Experience supporting public events and community engagementinitiatives.
