Job Title: Regional Facilities Manager Job Description

The Regional Facilities Manager oversees building systems, maintenance operations, and capital planning for a portfolio of schools across Newark and Camden, New Jersey. This role leads a facilities team, ensures safe and reliable operation of all building systems, manages preventive maintenance programs, and partners closely with school operations and central office teams to deliver a high-quality, compliant learning environment.

Responsibilities

• Develop comprehensive knowledge of the region’s building portfolio and lead the facilities team in executing best-in-class maintenance and preventive maintenance plans across all campuses.
• Manage the repair, maintenance, and continuous operation of all building systems, including fire and life safety, HVAC, plumbing, electrical, lighting controls, digital systems such as fire alarm, card access, CCTV security, and elevator controls.
• Design, implement, and oversee systems that enable rapid response to facility emergencies, ensuring issues are triaged and resolved efficiently and safely.
• Coordinate and document all required governmental inspections, ensuring all buildings comply with local, state, and federal regulations, and maintain all required documentation on file.
• Own and monitor a work-ticket system that prioritizes and responds to requests from school operations staff, assigning tickets appropriately to facilities team members and ensuring timely resolution.
• Develop transparent reporting systems for work-ticket responses so that all stakeholders remain informed about progress, timelines, and outcomes.
• Establish and lead regular meetings with school operations staff, creating clear agendas, capturing notes, and driving follow-up actions to address facilities needs.
• Stay informed of facilities challenges across the region, proactively identifying trends and coordinating responses and resources as needed.
• Institute clear calendars and expectations for all facility-related workstreams, including summer projects, school breaks, and other planned maintenance activities.
• Develop annual maintenance and operating budgets for all buildings in the region based on historical data and projected facility needs, and monitor spending to ensure it remains within budget.
• Manage the work of the accounts payable associate related to purchase order creation and invoice approval for facilities-related expenses.
• Ensure all procurement activities comply with New Jersey procurement guidelines and internal policies.
• Establish regular financial reporting practices for facilities operations, identify financial risks, and escalate concerns as appropriate.
• Develop and oversee bid processes for maintenance contracts, evaluate vendor proposals, and build a network of compliant, reliable vendors.
• Create and maintain an ongoing list of needed capital projects across the region, updating priorities as facility conditions and needs evolve.
• Collaborate with the Home Office Real Estate and Facilities team to compile an annual prioritized list of capital projects and align on scope and timelines.
• Coordinate site visits with school directors of operations to understand on-the-ground facility needs, gather feedback, and communicate planned repair and improvement work.
• Manage communications related to capital projects among Real Estate and Facilities teams and school operations staff, ensuring clarity on schedules, impacts, and expectations.
• Remain available to address urgent facilities issues and emergencies as they arise, providing leadership and direction to the facilities team on a 24/7 basis when needed.
• Regularly travel between campuses using a personal vehicle to oversee building conditions, support staff, and ensure consistent implementation of facilities standards.

Essential Skills

• Bachelor’s degree in architecture, construction, construction project management, facility management, or a related field.
• At least 7 years of progressive experience in architecture, construction, construction project management, facility management, or a closely related discipline.
• Strong familiarity with key building systems, including HVAC, electrical, mechanical, and plumbing systems.
• Knowledge of OSHA regulations and Life Safety codes relevant to school and commercial facilities.
• Ability to operate Building Management Systems (BMS) and proficiency with Microsoft Office applications.
• Excellent interpersonal and communication skills, with the ability to speak and write clearly and tailor messaging for different audiences.
• Demonstrated ability to build new operational systems, multitask effectively, set and drive priorities, and monitor progress toward goals.
• Strong attention to detail and proven ability to manage multiple projects simultaneously across several locations.
• Exceptional strategic, analytical, and critical thinking skills, with the ability to use data and insights to inform decisions.
• Availability to address facilities emergencies on a 24/7 basis as needed.
• Ownership of a personal vehicle suitable for travel between campuses in Newark and Camden, New Jersey.
• Ability to successfully pass a criminal record history check from the Department of Education.

Additional Skills & Qualifications

• Master’s degree, preferably in architecture, planning, or a related field.
• New Jersey low-pressure black seal boiler license, HVAC certifications, or other relevant facilities-related certifications, training, or licenses.
• Experience with data-driven decision-making and financial forecasting for facilities operations and capital projects.
• Experience in facilities maintenance, including plumbing, electrical, HVAC, and general building repair.
• Background in managing preventive maintenance programs for complex building systems.
• Experience in facility management within multi-site or campus-based environments.
• Comfort working with digital building systems such as fire alarm, card access, CCTV security, and elevator controls.
• Ability to build strong relationships with vendors and manage competitive bid processes for maintenance and service contracts.

Work Environment

This role supports approximately 15 schools located between Newark and Camden, New Jersey, requiring regular on-site presence and travel between campuses using a personal vehicle. The standard schedule follows a first-shift, Monday through Friday structure, with additional availability needed to respond to emergencies outside of typical working hours. The work environment includes a mix of office-based tasks, such as budgeting, planning, and reporting, and hands-on oversight of building systems and maintenance activities within school facilities. You will collaborate closely with school operations staff, facilities team members, and central office real estate and facilities partners, working in environments that prioritize safety, compliance, and reliable building performance.

Job Type & Location

This is a Permanent position based out of Newark, NJ.

Pay and Benefits

The pay range for this position is $125000.00 - $150000.00/yr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
