Accounts Payable Specialist

**This role is remote, but you must live within 1 hour of Austin, Texas.**

Reporting to the Director of Accounting, this role is responsible for accurately and timely processing vendor invoices, employee expense reimbursements, and payment transactions. This position ensures compliance with company policies, maintains vendor records, reconciles accounts, and supports the month-end close process while providing excellent internal and external customer service.

Key Responsibilities

Bill Processing

• Review, verify, and process vendor bills for payment.
• Match bills to purchase orders and receiving documentation.
• Ensure bills are properly coded and approved in accordance with company policies.
• Resolve invoice discrepancies and payment issues with vendors and internal departments.

Vendor Management

• Establish and maintain vendor records.
• Collect and maintain required vendor documentation, including W-9 forms.
• Respond to vendor inquiries and resolve account discrepancies.
• Reconcile vendor statements and investigate outstanding balances.

Expense Reporting

• Review employee expense reports for compliance with company travel and expense policies.
• Process approved reimbursements in a timely manner.
• Communicate with employees regarding missing documentation or policy exceptions.

Reconciliations and Reporting

• Assist with month-end and year-end closing activities.
• Prepare AP aging reports and other financial reports as requested.
• Support internal and external audits by providing documentation.

Process Improvement and Compliance

• Maintain organized electronic and physical AP records.
• Ensure compliance with company policies and accounting procedures.
• Identify opportunities to improve AP processes and efficiency.
• Assist with special projects and other accounting duties as assigned.

Qualifications

• 5+ years of experience in accounting
• Strong analytical and reconciliation skills.
• Advanced proficiency in Excel and financial systems.
• Experience with ERP systems (e.g., NetSuite or similar) preferred.
• Strong attention to detail and organizational skills.
• Ability to manage multiple priorities and meet deadlines.
