The Senior Associate for Operations & Strategic Planning is a unique position that works closely with the Associate Vice President of Operations & Strategic Planning, who is responsible for Prospect Research, Administration, and Fiscal & Regulatory Management, to execute strategies that will enhance the performance of the Philanthropy office and increase fundraising revenues to support Dana-Farber Cancer Institute’s mission. Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

Administrative Responsibilities: Provide support to the Associate Vice President; manage Associate Vice President’s calendar, mail, and office supplies, prepare correspondence, compile/create meeting agendas, and materials; Manage the Senior Management Group’s (Philanthropy leadership) budget for the Associate Vice President and Senior Vice President, Chief Philanthropy Officer, including reconciling expense reports and P-card charges; Reconcile and review P-card charges for the Prospect Research, Administration, and Fiscal & Regulatory Management Assistant Vice Presidents (3); Proof all planning/reporting documents, draft/proof executive summaries of planning/reporting documents, and design and produce written material such as correspondence, charts, proposals, and PowerPoint presentations; Support the Associate Vice President in preparing ad hoc reports for the Senior Vice President, Chief Philanthropy Officer; Interact with donors, prospects, physicians, and Institute volunteers on confidential matters; Provide back-up support to the Assistant Director to the Senior Vice President, Chief Philanthropy Officer. Project Management Responsibilities Coordinate the revision and circulation of various Division policies, including the Division Gift Policy Manual overseen by senior management; Track the Division’s involvement with Faculty monthly and prepare reports and presentations for senior leadership; Oversee the management of the Faculty and Staff Travel Tracker including training of staff, scheduling of strategy meetings, and production of reports and other materials; Execute various strategic service projects that will result in a positive impact on the fundraising operation; these projects may be accomplished in coordination with the Prospect Research, Administration, and Fiscal & Regulatory Management teams. Leadership Responsibilities Provide leadership, training, and resources for Administration, Prospect Research, and Fiscal & Regulatory Management administrative staff and new staff members; manage and coordinate administrative staff meetings within these teams to address questions and implement business rules/policies and to ensure accuracy and consistency across teams; Manage quarterly all-staff meetings and events for the Administration, Prospect Research, and Fiscal & Regulatory Management teams. Other Responsibilities As the Senior Associate to the Associate Vice President supporting RAF (Prospect Research, Administration, and Fiscal & Regulatory Management), there will be opportunities to partner with each of those units on specific projects as time allows and in alignment with interest and skill set.

SUPERVISORY RESPONSIBILITIES:

Reports to Associate Vice President of Operations & Strategic Planning. This position provides leadership for other team Assistants and may have minimal supervision of an occasional temp/intern but will seek major decision-making authority from direct supervisor. However, due to the nature of the tasks, this position requires sound and independent decision-making on a variety of day‑to‑day issues. Sound judgment is essential for dealing with Institute donors, trustees, senior staff, colleagues, and confidential information. Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor’s degree required, with 2–3 years of relevant experience in a professional setting.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

The applicant should be poised, mature, and professional, prepared to work with a variety of personalities including Institute staff, physicians, trustees, and key donors. Excellent written and verbal communication skills, expertise with numbers and Excel spreadsheets, as well as strong proofreading skills are necessary. The candidates should be detail oriented, have superior organizational skills, and be able to manage and prioritize a variety of projects at once. They should be resourceful, proactive, and thorough, and have a focused, self‑starting attitude with the ability to work independently and as a member of the team. Excellent computer skills and competency in Microsoft Office products are absolutely necessary, including Office 365, Excel, and PowerPoint.
