Job Description:\n\nJob Description: AmeriCorps Retired & Senior Volunteer Program (RSVP) Project Coordinator\nEmployment is contingent upon the availability and continuation of federal and/or state funds. Future Builders, Inc. does not control the duration or renewal of these funds, and therefore, the position may end if funding is reduced or discontinued.\n\nTo be considered for a face-to-face interview, applicants must complete Phase I of the application process. After submitting an application, candidates will receive an email from Criteria requesting completion of required assessments and a short video interview. Completion of Phase I is required for further consideration. Through RSVP, older adults contribute their time, skills, and life experience to address critical needs in their communities. Volunteers serve in a variety of roles across focus areas such as Healthy Futures, Environmental Stewardship, Education, and Other Community Priorities, supporting both short-term projects and long-term initiatives. RSVP offers flexible opportunities that align with volunteers’ interests, availability, and expertise—whether they’re mentoring youth, delivering meals, offering administrative support, or helping with disaster response. RSVP Project Coordinators play a key role in implementing local programs by recruiting, placing, training, and supporting volunteers, managing relationships with partner organizations (also called “stations”), and ensuring compliance with both federal grant guidelines and organizational policies. The Project Coordinator plays a critical role in advancing the AmeriCorps Seniors Retired and Senior Volunteer Program (RSVP). This position is responsible for recruiting, placing, and supporting volunteers aged 55 and older in meaningful service opportunities that address local needs in areas such as Healthy Futures, Economic Opportunity, Education, and other community priorities.\n \nWhile RSVP has an established foundation, it is also in a phase of renewal and continuous improvement. The Coordinator will contribute to strengthening and expanding the program by refining systems, cultivating community partnerships, enhancing volunteer engagement, and ensuring compliance with federal grant requirements. This includes supporting both the day-to-day operations and the long-term vision for sustainable growth.\n \nThe ideal candidate is self-motivated and community-minded, with the professionalism to manage administrative responsibilities and the creativity to help shape a high-impact, values-driven program. As part of a small and collaborative team, the Coordinator helps ensure that older adults remain active, connected, and empowered to make lasting contributions in their communities.\n\nKEY RESPONSIBILITIES (include but are not limited to)\nVolunteer Recruitment & Support\n\nRecruit, screen, and place volunteers aged 55+ in meaningful service roles across designated counties\nConduct volunteer orientations and provide ongoing support, encouragement, and recognition\nTrack and enter volunteer hours in volunteer system, service types, and impact using internal databases and JotForm\nEnsure consistent outreach and follow-up, including to those who initially decline participation\nMaintain respectful and clear communication while honoring volunteer autonomy\nSend monthly volunteer hour reporting sheets and follow up on submissions\nMail thank-you cards, birthday greetings, or get-well-soon notes to volunteers as appropriate\n\nStation Development & Management\n\nBuild relationships with community-based organizations to serve as volunteer stations\nCreate, monitor, and maintain Memorandums of Understanding (MOUs) with each station\nConduct station assessments and ensure compliance with AmeriCorps regulations\nCollaborate with stations to identify and develop appropriate service opportunities\nCheck in with stations quarterly outside of regular hour-reporting communications\nUse the Station Touch Base form to assess placement effectiveness and address concerns\n\nOutreach, Communications & Public Relations\n\nRepresent RSVP at public events, community meetings, and outreach activities\nDesign and distribute outreach materials using Canva or Microsoft Word\nUpdate and coordinate a shared calendar of events, meetings, and outreach opportunities\nCommunicate new volunteer opportunities through e-blasts, flyers, phone calls, or mailouts\nRespond to volunteer and station inquiries via phone, email, and in-person visits\nFollow RSVP standards by avoiding prohibited discussions during official engagements\n\nEvent Planning & Support\n\nAssist with planning, logistics, setup, and breakdown of events such as volunteer fairs, recognition ceremonies, and service days\nOrder, pick up, and organize supplies and materials needed for events\nMaintain event checklists, signage, and logistics documentation in collaboration with the Project Director\nSupport special events by preparing invitations, name tags, printed materials, and decorations\n\nAdministrative & Office Support\n\nCheck and respond to emails promptly using Outlook\nAnswer and return phone calls, including responding to voicemails from volunteers and stations\nEnter volunteer hours and data into relevant systems accurately and in a timely manner\nPrepare and submit monthly reports on time, including mileage reimbursement forms and QuickBooks entries\nClock in and out each day and maintain detailed work logs in QuickBooks\nMaintain accurate, organized files and digital records related to RSVP operations\nAssist with office upkeep, organizing supplies, and managing low-traffic office periods productively\n\nTeam Collaboration & Organizational Culture\n\nWork closely with the Project Director in a small team environment to meet program goals\nMaintain a united and professional presence when engaging with community partners and volunteers\nUphold workplace boundaries, show respect for leadership, and avoid gossip or undermining behavior\nPromote a respectful, positive office culture that supports both autonomy and collaboration\n\nCompliance & Continuous Improvement\n\nFollow all deadlines and expectations outlined in the Plan of Action and federal grant requirements\nProtect the confidentiality of volunteers and partner organizations\nContribute to process improvement by offering feedback, sharing insights, and supporting innovation\nParticipate in required trainings and development opportunities to strengthen your skills and knowledge\n\nDESIRED SKILLS AND ATTRIBUTES\n\nAdaptability: As a small office, team members may occasionally assist with shared program or community engagement efforts that support the organization’s mission.\nAttention to Detail: Produces accurate work and is thorough in documentation and follow-through.\nCommunity-Minded: Demonstrates a genuine commitment to serving others and building trust with the community.\nConflict Resolution: Can navigate disagreements calmly and constructively to maintain healthy workplace relationships.\nCultural Humility: Acknowledges and respects diverse cultural backgrounds and perspectives.\nDirect and Transparent Communication: Willing to openly share challenges, concerns, or feedback in a respectful and solutions-oriented way.\nEmotional Maturity: Can handle feedback and rejection gracefully and professionally.\nGrowth Mindset: Open to learning, feedback, and continuous self-improvement.\nIndependence: Completes work without micromanagement;
