Job Description

This short-term Procurement Specialist role provides one-month leave coverage and supports daily purchasing operations. The position focuses on converting approved requisitions into purchase orders, maintaining accurate purchasing documentation, and ensuring that procurement activities move forward efficiently and on schedule.

Responsibilities

• Convert approved requisitions into accurate and timely purchase orders.

• Process, update, and maintain purchase orders within the procurement and ERP systems.

• Communicate with vendors regarding order status, delivery expectations, and purchasing needs.

• Track open orders, monitor progress, and follow up on delays or issues as needed.

• Identify and resolve routine purchasing and purchase-order discrepancies, including basic reconciliation tasks.

• Maintain organized and accurate purchasing records, documentation, and data entry related to orders, invoices, and inventory.

• Support other day-to-day procurement activities as assigned, including supplier management, order entry, and invoice-related follow-up.

• Collaborate with internal stakeholders to clarify requisitions and ensure purchasing requirements are met.

• Use Excel and other tools to review, update, and report on purchasing data and supplier performance.

Essential Skills

• Previous experience in purchasing, procurement, or a similar purchasing support role.

• Hands-on experience processing and managing purchase orders from requisition to PO conversion.

• Strong attention to detail and organizational skills, with the ability to maintain accurate records and documentation.

• Ability to identify and resolve routine purchasing issues and discrepancies in a timely manner.

• Strong written and verbal communication skills for effective interaction with vendors and internal stakeholders.

• Ability to learn new systems quickly and become productive with minimal ramp-up time.

• Experience working with ERP or purchasing systems such as SAP or similar platforms.

• Proficiency with Excel for tracking orders, managing data, and basic reporting.

• Dependable work habits and the ability to work independently in an individual-contributor role.

Additional Skills & Qualifications

• Picoro system experience is helpful but not required; training will be provided.

• Experience with requisition-to-PO conversion processes and purchase order processing.

• Experience in procurement, purchasing, supply chain, or supplier management.

• Familiarity with data entry, order entry, invoice processing, and PO reconciliation.

• Experience monitoring inventory and supplier performance in a purchasing environment.

• Comfort working in a fast-paced setting and handling routine problem-solving related to purchasing.

• Ability to step into a short-term assignment with minimal ramp-up and quickly adapt to existing processes.

• Availability to commit to the full one-month temporary assignment.

• Comfort working independently without team-management responsibilities.

Work Environment

The role is based in a fast-paced, collaborative procurement environment that requires strong attention to detail and reliable follow-through. The Procurement Specialist works as an individual contributor, managing routine purchasing activities independently while maintaining regular communication with internal stakeholders and external vendors. The position offers a consistent Monday through Friday schedule, with standard hours of either 8:00 a.m.–5:00 p.m. or 9:00 a.m.–6:00 p.m. Software and system training, including Picoro, will be provided, offering exposure to modern ERP and purchasing tools while supporting meaningful day-to-day operations.

This is a Contract position based out of Fremont, CA.

Pay and Benefits

The pay range for this position is $40.00 - $45.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
