Maintenance Operations Coordinator
The Maintenance Operations Coordinator shall be responsible, but not limited to, the following: providing administrative, planning, procurement, inventory, and documentation support for the maintenance function for Prairie Farms Dairy – Somerset production facility.
This position is responsible for coordinating and maintaining the facility's work-order system; monitoring preventive maintenance activities and repair schedules; procuring maintenance parts, materials, and supplies; maintaining accurate parts inventory records; and supporting compliance with company safety, sanitation, food-safety, and maintenance procedures.
The position works closely with Maintenance, Production, Sanitation, Quality/Food Safety, Purchasing, and other facility personnel to help ensure that production and support equipment is maintained in a timely, safe, sanitary, and documented manner.
This is an hourly, non-supervisory position. The position does not have direct reports and does not have authority to hire, terminate, discipline, or formally direct the work of maintenance employees.
Key Responsibilities
- Maintain accurate records and documentation in accordance with company policies and applicable requirements.
- Participate in audits, inspections, inventory activities, and other maintenance-related administrative activities as assigned.
- Assist with development and maintenance of standardized maintenance documentation, equipment records, parts lists, and procedures.
- Perform other duties of a similar nature and level as assigned by the Maintenance Manager/Supervisor.
- All other duties as assigned.
Required Qualifications
- High school diploma or equivalent preferred.
- Prior experience in maintenance administration, maintenance coordination, purchasing, inventory control, manufacturing, food processing, warehousing, or a related field preferred.
- Basic understanding of mechanical, electrical, refrigeration, processing, packaging, or other industrial maintenance concepts preferred.
- Experience with a CMMS, ERP, inventory-management, purchasing, or work-order system preferred.
- Basic computer proficiency, including email, spreadsheets, and database or maintenance-management systems.
- Ability to maintain accurate records and follow established procedures.
- Ability to communicate effectively with maintenance personnel, production personnel, vendors, and management.
- Ability to work in a manufacturing/food-processing environment and follow applicable safety and sanitation requirements.
Preferred Qualifications
- Experience in a dairy, food-processing, beverage, or other regulated food-manufacturing environment.
- Experience with preventive maintenance programs.
- Experience managing maintenance parts or MRO inventory.
- Experience with computerized maintenance management systems (CMMS).
- Familiarity with pumps, motors, valves, conveyors, refrigeration systems, boilers/utilities, processing equipment, packaging equipment, or clean-in-place (CIP) systems.
- Familiarity with food-safety and sanitation requirements applicable to dairy or food-processing facilities.

- Ability to identify overdue work, missing information, inventory shortages, and procurement issues.

- Ability to understand and follow written procedures, manufacturer instructions, safety requirements, and company policies.
- Ability to handle confidential or business-sensitive information appropriately.
- Ability to recognize conditions requiring escalation to Maintenance, Production, Quality/Food Safety, Safety, or management personnel.

Work Schedule
This is an hourly, non-exempt position. The employee is expected to work the schedule established by the Company and may occasionally be required to work outside the normal schedule based on production, maintenance, inventory, emergency repair, or other facility needs.
All hours worked must be accurately recorded in accordance with Company timekeeping procedures. Overtime must be worked only in accordance with Company policy and applicable law.
Working Conditions
The employee may be required to:
- Work in a manufacturing and dairy-processing environment.
- Frequently move throughout production, maintenance, warehouse, utility, refrigeration, and other facility areas.
- Work around operating machinery, production equipment, refrigeration systems, cleaning and sanitation operations, noise, temperature variations, wet areas, and industrial materials.
- Wear required personal protective equipment.
- Stand, walk, bend, stoop, reach, climb stairs, and occasionally work in confined or restricted areas when permitted by training, authorization, and facility procedures.
- Occasionally lift, carry, push, or pull maintenance parts, supplies, or materials within the limits established by company policy and applicable safety requirements.
- Work around milk, dairy products, food-contact equipment, cleaning chemicals, lubricants, and other materials commonly present in a dairy-processing facility, while following applicable safety and sanitation procedures.

Authority and Accountability
This position has no direct supervisory responsibility. The employee may coordinate information, work-order status, parts availability, schedules, or other maintenance-related activities with Maintenance personnel and other departments. Such coordination does not constitute authority to hire, fire, discipline, evaluate, or independently direct employees.
The employee is responsible for maintaining accurate work-order, preventive-maintenance, procurement, and inventory records and for timely communication of issues requiring attention.
The employee is expected to escalate matters involving safety, food safety, sanitation, regulatory compliance, significant equipment failure, production impact, purchasing authorization, or technical decisions beyond the employee's established authority.
This position does not independently approve expenditures, modify maintenance procedures, bypass safety or food-safety requirements, authorize deviations from established procedures, or make technical repairs unless separately trained, authorized, and assigned to do so.
