Requirements Qualifications 2+ years of experience in data collection, data entry, or administrative support. 1+ years of experience handling sensitive or confidential information. Proficiency with Microsoft Office 365 Suite (Word, Excel, Outlook, SharePoint). Ability to learn new databases quickly and work independently. Keen attention to detail with strong organizational and time‑management skills. Strong written and verbal communication; conveys information accurately, listens actively, and asks clarifying questions. Strong problem‑solving skills and ability to manage multiple tasks simultaneously. Commitment to confidentiality, HIPAA compliance, and mandated reporting. Ability to work in person and collaboratively with program staff and diverse communities. Preferred Qualifications (Optional) Experience with Salesforce or ECM (Exponent Case Management) systems. Exposure to San Francisco social services database systems such as CMS 1+ years of nonprofit experience, particularly in social services or community programs. Experience supporting staff training or providing informal technical guidance. Bilingual in Spanish, Cantonese, or another language spoken by program participants. Summary Position Summary Urban Services YMCA, the social services branch of the YMCA of Greater San Francisco, has provided free programs and services to youth and families in San Francisco for over 20 years. The Data Support Specialist safeguards the quality, accuracy, and integrity of data entered into program and funder databases. ECM (Salesforce) is the primary system and this role will be expected to hold expertise in it. Familiarity with additional funder databases such as Department of Children, Youth and Their Families (DCYF) Contract Management System (CMS) is required and built over time. Working alongside the Urban data and leadership team, Program Directors, and program staff, this role supports staff capacity‑building through day‑to‑day guidance, hands‑on assistance, and clear documentation. This role will help reinforce data standards across programs and support teams in using ECM/systems more effectively. The position reports to the Salesforce Administrator and supports Urban Services’ data strategy and compliance with local, state, and federal requirements. Job Responsibilities Data Entry & Quality Assurance Enter client and program data accurately into ECM/Salesforce (primary system) and, as needed, into funder databases such as CMS. Collect and organize client information from multiple programs, including contact details, demographics, service delivery, service plans, assessments, attendance, outreach, and referrals. Review data entered against original source documents for accuracy; identify and correct errors, inconsistencies, or duplicate records. Collaborate with program staff to resolve discrepancies in information and address incomplete or missing records. Identify opportunities to improve data collection workflows and surface issues early. Training & Staff Support Assist with onboarding and training program staff on data entry standards, ECM/Salesforce workflows, and data quality practices, under the direction of the Program Director and data team. Provide day‑to‑day ECM and data entry support to program staff, answering questions and helping troubleshoot common issues. Serve as a first‑line support resource for staff navigating data systems, escalating broader questions to the Program Director or data team. Documentation & Standards Maintain and update job aids, quick‑reference guides, and other documentation to support consistent data entry practices across programs. Ensure documentation reflects current ECM system configurations, funder CMS requirements, and data team standards. Support periodic reviews of data quality to reinforce best practices and flag areas for improvement. Reporting Support Create and run standard ECM/Salesforce/CMS reports under the data team’s guidance to support program and data team needs. Support program staff in running and using existing reports (e.g., locating the right report, applying filters, interpreting results); report design and long‑term maintenance remain with the data team and Salesforce Administrator. Fulfill routine information requests from program directors, the Urban data team, and leadership as directed. Meet bi‑weekly with Salesforce Administrator and Program Directors. Meet bi‑weekly with the Urban data team to stay current on data entry requirements and contribute to Urban’s data strategy. Model accuracy, accountability, and continuous improvement to strengthen the team’s data culture. Attend staff meetings and trainings as required. Perform other administrative and clerical duties such as sorting, filing, emailing, transcribing, and proofreading as needed. Compliance & Confidentiality Maintain confidentiality of client information at all times and in accordance with HIPAA regulations. Adhere to data security practices and procedures at all times. Uphold YMCA policies for safety, supervision, mandated reporting, and risk management. Complete all mandatory Talent LMS safety training and Y-USA e‑Learning requirements. Demonstrate the Character Counts values of caring, respect, honesty, and responsibility in all dealings with members, guests, volunteers, and fellow staff. Work Environment & Physical Demands This onsite role splits time between the Urban Services YMCA office and three Family Resource Center (FRC) sites across San Francisco (Ocean Merced Ingleside, Potrero Hill, Western Addition). The typical schedule is two days at the Urban office and one day per week at each FRC site, and may shift based on program needs. The role requires sitting or standing for extended periods, using a computer and phone, and traveling between sites via public transit or other means. Regular interaction with program staff and program leadership is expected. Occasional evening and weekend hours may be required.
