Locations: San Francisco, Oakland, San Bruno, Santa Rosa, Eureka, Clearlake, and Ukiah, California
Position Summary
We are seeking Medical Support Assistants to provide scheduling, reception, and administrative support at VA medical centers and outpatient clinics across Northern California.
The Medical Support Assistant will schedule and manage patient appointments, answer incoming calls, check patients in, update demographic and insurance information, maintain accurate electronic records, and support day-to-day clinic operations. This position requires strong customer service, attention to detail, and the ability to manage frequent phone and computer activity simultaneously.
Key Responsibilities
- Schedule, cancel, and reschedule patient appointments.
- Manage appointment reminders, follow-up calls, cancellations, and no-shows.
- Answer incoming calls professionally and route them appropriately.
- Check patients in using established patient-identification procedures.
- Verify and update patient demographics, contact information, and insurance details.
- Enter and maintain accurate information in scheduling and electronic health record systems.
- Monitor and process incoming and outgoing correspondence, fax, and mail.
- Prepare and proofread reports, letters, and other administrative documents.
- Support clinic opening and closing activities.
- Assist clinical and administrative teams with patient-service and scheduling needs.
- Maintain strict compliance with HIPAA, privacy, information-security, and facility procedures.
Minimum Qualifications
- At least six months of general clerical or administrative experience.
- At least six months of experience using appointment-scheduling software or an electronic scheduling system.
- Familiarity with medical, hospital, or clinic terminology.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Ability to type accurately at a minimum speed of approximately 45 words per minute.
- Strong verbal and written English communication skills.
- Comfortable handling high volumes of telephone and computer-based work.
- Must meet the contract’s U.S. residency requirement.
- Ability to work independently and maintain accurate records.
- Ability to pass a NACI/Tier 1 background investigation and VA suitability review.
- Must successfully complete required health screening and facility onboarding requirements.
Preferred Qualifications
- Previous experience working for the VA, a VA contractor, or another federal healthcare facility.
- Experience with VistA, CPRS, ISS, Epic, Cerner/Oracle Health, or a comparable EHR system.
- Healthcare scheduling, patient-access, medical reception, or call-center experience.
- Knowledge of ICD-10, CPT, HCPCS, medical billing, insurance verification, or pre-authorization processes.
- Previous HIPAA, privacy, cybersecurity, or information-security training.
- Experience preparing or reviewing scheduling, access, or patient-service report
